Job description

We are looking for a talented Administrative Associate - Level II to join our General Management team in Kenner, LA.

In this role, you will make an impact in the following ways:

  • Serve as the primary point of contact for visitors, employees, and business partners, providing professional reception and administrative support.

  • Support day-to-day office operations by coordinating administrative activities, managing documentation, and ensuring records are accurate and up to date.

  • Assist with new hire onboarding and orientation activities, helping create a positive and organized employee experience.

  • Coordinate meetings, prepare communications, take detailed meeting notes, and distribute meeting minutes and other materials as needed.

  • Maintain employee records and upload documentation into company systems while ensuring accuracy and confidentiality.

  • Support facility operations by coordinating maintenance requests, scheduling repairs, assisting with purchase orders (POs), and processing invoices.

  • Serve as a liaison for facility-related concerns and help ensure issues are addressed in a timely manner.

  • Prioritize multiple responsibilities in a fast-paced environment while demonstrating a strong sense of urgency and attention to detail.

  • Build positive working relationships with employees across the branch and support cross-functional business initiatives.

  • Complete required training on a timely basis.

  • Adhere to all relevant Health, Safety & Environmental policies, procedures, and legislation and report any issues or incidents to their supervisor.

  • Provides administrative and office management support for branch operations.

  • Serves as the first point of contact for visitors, customers, and employees, delivering exceptional customer service.

  • Coordinates onboarding activities and maintains employee documentation and records.

  • Attends meetings, captures meeting notes, and distributes communications and follow-up materials

  • Maintains accurate records and uploads documentation into internal systems.

  • Assists with facility management activities, including maintenance coordination, vendor communication, PO creation, and invoice processing.

  • Supports branch leadership with administrative projects and operational initiatives.

  • Demonstrates strong organizational skills, attention to detail, and the ability to manage multiple priorities.

  • Handles confidential information with professionalism and discretion.

  • Contributes to a positive team environment while supporting day-to-day branch operations.
