Position Summary
SkyTrak is seeking a highly organized and detail-oriented Sales Coordinator to support the execution and administration of key retail and wholesale partner accounts. This position is responsible for coordinating purchase orders, maintaining item setup and pricing documentation as the organization's single source of truth, supporting ship-window communications, and assisting with partner compliance programs, including Minimum Advertised Price (MAP) monitoring. The role collaborates closely with Sales, Operations/Logistics, Finance, Marketing, and Legal/Compliance to ensure that partner needs are met with speed, accuracy, and professionalism.

This role is central to operational excellence within SkyTrak Golf's key accounts. By ensuring that orders move efficiently, documentation remains accurate, and partner deliverables are met on time, the Sales Coordinator helps the organization deliver a best-in-class experience to its customers and partners.
Essential Duties and Responsibilities
Core responsibilities include, but are not limited to:
Purchase Order (PO) Administration & Order Coordination
  • Manage PO intake and acknowledgment, confirming receipt, validating completeness, and logging orders into internal trackers.
  • Validate pricing, terms, quantities, and case-pack requirements; escalate discrepancies to the account owner and Finance as needed.
  • Maintain a clear PO status dashboard (received, confirmed, in process, shipped, invoiced) and communicate updates internally.
  • Support order changes, including quantity adjustments, ship-date changes, and partial shipments, and ensure documentation remains current.
Ship Window & Fulfillment Communication
  • Coordinate ship windows with Operations/Logistics to align internal capacity and inventory with partner expectations.
  • Communicate ship windows, shipping updates, and tracking details to partners in a timely and professional manner.
  • Identify risks early, such as inventory constraints, carrier delays, or cutoff dates, and propose solutions in collaboration with internal teams.
Item Setup, SKU Packets & Documentation Control
  • Create and maintain item setup and SKU packets (SKU/UPC sheets, setup forms, product information) as the definitive partner-facing source of truth.
  • Manage version control for account-specific pricing sheets, item setup documents, and partner forms, ensuring that updates are properly distributed.
  • Coordinate product content and asset updates with Marketing (images, descriptions, key features) and confirm partner implementation.
Pricing, Promotions & Content Support
  • Maintain current account price lists and promotional calendars, including promotional dates, cutoff dates, and inventory considerations.
  • Support promotional execution by ensuring partners have correct pricing, assets, and required documentation.
  • Assist the account owner with partner requests requiring operational follow-up, including forms, confirmations, and documentation.
MAP Monitoring & Compliance Support
  • Conduct routine Minimum Advertised Price (MAP) checks and sweeps across partner channels, documenting potential issues with screenshots and logs.
  • Escalate violations to internal stakeholders and track follow-up actions through to resolution.
  • Maintain compliance records and assist with partner communications related to MAP and promotional guidelines, as directed.
Reporting, Inventory Checks, Rebates & Sell-Through Support
  • Collect monthly inventory checks and partner reporting inputs, including sell-through data, rebates, and other account-specific reporting.
  • Consolidate information into internal trackers and flag exceptions, gaps, or risks for Sales and Finance.
  • Support account reconciliation tasks by maintaining accurate files and timely documentation.
RMA / Returns and Sample Logistics
  • Coordinate RMA and returns workflows for priority accounts, including intake, approvals, replacements, and status updates.
  • Manage sample, dummy, and display unit logistics, including shipping, tracking, returns, and condition notes, and maintain accurate records.

Requirements
• 2+ years of experience in sales coordination, sales administration, sales operations, account operations, or order management.
• Strong proficiency with spreadsheets and structured trackers (Excel/Google Sheets), with comfort managing detail-heavy workflows.
• Excellent written and verbal communication skills, with the ability to communicate clearly with partner contacts and internal teams.
• High attention to detail, strong follow-through, and the ability to manage multiple concurrent priorities.
• Ability to handle confidential business information with discretion and professionalism.
Preferred:
• Experience supporting wholesale/retail partners (big-box and/or ecommerce).
• Familiarity with MAP monitoring, pricing compliance, and documentation workflows.
• Experience coordinating RMAs/returns and sample programs.
• Experience working cross-functionally with Operations, Finance, Marketing, and Legal/Compliance.
