The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Job Overview:

The Real Estate Associate will provide project coordination support to RWJBH Real Estate Development team and assist in the assembly, coordination, and flow of communications for the Real Estate Development Department in order to enable proper office operations and to provide administrative support to the Project Manager, Ambulatory Real Estate Planning & Activation.

He/she will create capital requests, facilitate contracts, maintain documentation, and assist with coordination of all efforts and programs in conjunction with the Project Manager under the supervision of the SVP, Real Estate Development.

Qualifications:

Required:

  • HS diploma or GED equivalent
  • Associates degree or 2 years of experience minimum as a project coordinator and/or administrator for a construction company or similar industry.
  • Proficient computer skills with MS Office.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Excellent written and verbal communication, interpersonal, organizational, and decision-making skills required.
  • Attention to detail and problem-solving skills.

Preferred:

  • Bachelor’s Degree preferred
  • Experience with PeopleSoft, Yardi and/or Strata a plus.

Scheduling Requirements:

  • Full-Time, hourly position– 37.5 hours a week
  • On-site in Eatontown, NJ

Essential Functions:

  • Provide project coordination support to RWJBH Real Estate Development team.
  • Responsible for administrative coordination functions in support of the Real Estate Development Department to include meeting reporting and scheduling, coordination of management systems activities, and vendor/customer follow-up and support.
  • Create capital requests and upload supporting documentation within the capital approval system under the direction of the Project Manager.
  • Manage administrative duties by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, purchase order requisitions are created and reviewed, and that clerical functions are properly submitted and monitored such as IT requests, meeting invitations, etc.
  • Facilitate standard agreements and contracts between vendors and consultants under the supervision of Project Manager.
  • Obtain quotes, create purchase order requisitions, process invoices, and follow up on payments as well as check requests and resolve discrepancies.
  • Assist in updating the ambulatory capital schedule and project inventory under the direction of the Project Manager.
  • Create project reports by exporting data from internal capital, financial and project management systems.
  • Organize project related paperwork, reporting, document filing, ensure all materials are current and properly filed and stored.
  • Upload documents to respective systems.
  • Record minutes and take detailed notes during meetings as required.
  • Manage SVP Real Estate Development, VP Real Estate, and Project Managers schedules, calendars, and appointments.
  • Position requires initiative and judgment and must be able to always maintain confidentiality.
  • Performs other duties as assigned.
