Description
We are looking for a highly organized, proactive, and detail-oriented Real Estate Administrative Assistant to support Marty Rodriguez and our growing real estate team.
This role is ideal for someone who thrives in a fast-paced environment, can manage multiple moving pieces, and takes pride in keeping people, paperwork, calendars, and client communication on track. You will assist with transaction paperwork, client follow-up, appointment coordination, database management, marketing support, and day-to-day administrative needs that help the team operate at a high level.
The right candidate has strong communication skills, excellent follow-through, a service-first mindset, and the ability to anticipate needs before being asked. Real estate experience is strongly preferred, but strong organization, professionalism, and attention to detail are non-negotiable.
Responsibilities
โ€ข Provide direct administrative support to Marty Rodriguez by managing her calendar, appointments, daily priorities, and follow-up items.
โ€ข Prepare listing appointment materials, seller packets, buyer packets, CMAs, market research, and other client-facing documents.
โ€ข Assist with real estate paperwork, listing files, disclosures, transaction documents, deadlines, and file organization.
โ€ข Maintain accurate client notes, contact information, follow-up reminders, and activity updates in the CRM/database.
โ€ข Coordinate communication with clients, vendors, escrow, title, lenders, transaction coordinators, and team members to help keep appointments and files moving forward.
โ€ข Help Marty stay organized and prepared by tracking task lists, managing details, organizing messages, and making sure nothing falls through the cracks.
โ€ข Deliver top-level administrative support with professionalism, discretion, strong follow-through, and excellent attention to detail.
Qualifications
โ€ข Bilingual in English & Spanish preferred
โ€ข Real estate administrative experience is required, with a strong understanding of real estate paperwork, timelines, client communication, and transaction support.
โ€ข Strong organizational skills with the ability to manage calendars, deadlines, paperwork, follow-up items, and multiple priorities.
โ€ข Excellent written and verbal communication skills with a professional, service-focused approach.
โ€ข Comfortable using Microsoft Word, Excel, Outlook, CRM/database systems, and other office technology.
โ€ข High attention to detail, strong follow-through, discretion, and the ability to stay calm in a fast-paced real estate environment.
