What is QuickBooks Management?

QuickBooks Management refers to the process of overseeing and optimizing the use of QuickBooks accounting software within a business. This includes setting up company files, managing accounts, processing transactions, generating financial reports, and ensuring data accuracy. Effective QuickBooks Management helps businesses streamline their bookkeeping, improve financial visibility, and maintain compliance with accounting standards. Professionals in this role often provide support, training, and troubleshooting to ensure the software is used efficiently.

What are the key skills and qualifications needed to thrive in QuickBooks Management, and why are they important?

Success in QuickBooks Management requires a solid understanding of accounting principles, bookkeeping practices, and experience with QuickBooks software, often complemented by relevant certifications like QuickBooks ProAdvisor. Familiarity with financial reporting tools, payroll processing, and integration with other accounting systems is highly valued. Attention to detail, problem-solving abilities, and strong organizational skills help professionals excel in managing complex financial data. These competencies ensure accurate financial record-keeping, regulatory compliance, and efficient business operations.

What are some typical challenges faced in a QuickBooks Management role, and how can they be addressed?

QuickBooks Managers often encounter challenges such as managing data accuracy, reconciling accounts, and ensuring timely financial reporting. Staying organized and regularly reconciling transactions can help prevent errors. Collaborating closely with other departments, such as sales and operations, is key to maintaining up-to-date records. Leveraging QuickBooks' automation features and staying current with software updates can also streamline tasks and minimize manual entry mistakes.

QuickBooks Online Bookkeeper

Company: Scotts Business Services

Employment Type: Part-Time (15–25 hours/week)

Pay: $24–$30/hour

Location: Hybrid (South Pasadena, CA)

About the Role

Scotts Business Services is looking for a detail-oriented QuickBooks Online Bookkeeper / Payroll Specialist to support our multi-client bookkeeping practice. You'll manage QuickBooks Online for multiple clients — handling bank reconciliations, payroll processing, sales tax, client QBO setup and migration, reporting, and ongoing client support.

What You'll Do

  • Set up and maintain client QuickBooks Online accounts in a multi-entity / multi-client environment
  • Perform bank and credit card reconciliations
  • Manage accounts payable and accounts receivable
  • Process payroll (QuickBooks Payroll and/or other payroll platforms) and support payroll tax filings as needed
  • Track and support sales tax filings
  • Produce regular client reports (P&L, balance sheet, cash flow summaries) and ad-hoc reports on request
  • Communicate with clients and resolve issues
  • Document workflows and maintain accurate client files

What We're Looking For

Must-Haves:

  • 3+ years of hands-on QuickBooks Online experience in a multi-entity / multi-client bookkeeping environment
  • QuickBooks Online ProAdvisor certification strongly preferred
  • Payroll processing experience (QuickBooks Payroll and/or other major payroll platforms)
  • Strong Excel skills, MS Office experience and Outlook knowledge
  • Solid experience with bank reconciliations, AP/AR, and client file management

Nice-to-Haves:

  • Tax return prep support experience

Soft Skills:

  • Strong attention to detail and accuracy
  • Clear, professional client communication (written and verbal)
  • Strong time management and ability to prioritize across multiple clients and deadlines
  • Ability to follow documented processes and work independently in a remote setting
  • Client-facing professionalism and a problem-solving attitude

What We Offer

  • Part-time hours (15–25 hours/week) at $24–$30/hour
  • Hybrid (South Pasadena, CA)
  • Support for QuickBooks ProAdvisor certification reimbursement and continuing education, where applicable
  • Opportunity to grow responsibilities within the firm based on performance

We'd love to hear from you!
