Job description

Description

Quality Enclosures is seeking a dependable and organized Scheduling & Operations Support team member to assist with daily scheduling, production paperwork, shipping, and delivery activities.


Approximately 80% of the position involves scheduling, paperwork, order updates, and communication, with approximately 20% supporting warehouse, shipping, or manufacturing activities as business needs require.


This is a good opportunity for someone who is detail-oriented, comfortable using computers, communicates well, and enjoys working in a fast-paced team environment.

Primary Responsibilities

  • Prepare and organize load sheets and paperwork for daily deliveries.
  • Print, separate, and distribute production paperwork based on daily priorities.
  • Update paperwork and system notes when delivery dates, orders, or priorities change.
  • Communicate rush orders, date changes, and other updates to production and shipping teams.
  • Track back orders and follow up for updated information as needed.
  • Assist with processing returns and RMAs.
  • Monitor email and Microsoft Teams for order changes, cancellations, and other updates.
  • Enter and maintain order notes and information in NetSuite.
  • Collect completed load sheets, scan packing slips, and maintain required files.
  • Assist with invoicing paperwork and UPS shipments.
  • Communicate with drivers and customers regarding deliveries, pickups, and returns.
  • Review upcoming deliveries and help prepare information needed for the next day's routes.
  • Provide general support to the production, warehouse, and shipping teams when needed.
  • Assist with staging, organizing, preparing, or moving materials and orders as assigned.
  • Cross-train in other office and operational tasks to provide coverage when needed.
  • Perform other related duties based on business needs.

Qualifications & Skills

  • High school diploma, GED, or equivalent required.
  • Basic working knowledge of Microsoft Word, Excel, Outlook, and Teams.
  • Comfortable learning and using computer-based order or inventory systems.
  • Good written and verbal communication skills.
  • Strong attention to detail and organization.
  • Ability to follow established procedures and complete tasks accurately.
  • Ability to manage multiple tasks and adjust when priorities change.
  • Ability to work effectively with office, warehouse, shipping, and production team members.
  • Familiarity with Oracle NetSuite or similar software is helpful but not required.

Physical Demands

  • Ability to regularly use computers, phones, scanners, copiers, and other standard office equipment.
  • Ability to sit for extended periods while completing scheduling and administrative work.
  • Ability to periodically stand and walk while assisting in warehouse, shipping, or manufacturing areas.
  • Ability to bend, reach, and assist with routine material-handling activities as needed.
  • Ability to lift up to 50 pounds.

Working Conditions


This position works primarily indoors, with most of the work performed in an office environment.


The position also requires periodic work in warehouse, shipping, and manufacturing areas. These areas may include exposure to glass breakage, moving equipment, and normal manufacturing activity. Required personal protective equipment (PPE) must be worn when entering designated areas.
