Summary Statement

This position directly supports Center for Life Management's mission to improve access to behavioral healthcare by facilitating timely medical record processing, promoting client engagement, supporting quality monitoring activities, and ensuring accurate and efficient administrative processes that contribute to high-quality, person-centered care.ย 


The Quality Improvement Assistant provides administrative and operational support to the Quality Improvement Department by coordinating activities that promote regulatory compliance, improve access to care, support client engagement, and enhance the quality of clinical services. This position plays an important role in facilitating medical record requests, monitoring engagement and discharge processes, supporting quality improvement and community behavioral health center certification initiatives, maintaining accurate records, and assisting with agency-wide performance monitoring. This position provides support to the Quality Improvement Department to implement Rural Health Transformation Initiatives, including CCBHC Certification.

The Quality Improvement Assistant works collaboratively with clinical, administrative, and leadership staff to ensure timely completion of quality improvement activities and compliance with organizational, state, and federal requirements. This position is part-time, 20 hours per week, and is considered non-exempt in accordance with the Fair Labor Standards Act (FLSA).ย 


Major Functional Areas and Description of Duties

  • Supports regulatory surveys, accreditation activities, and compliance reviews; including support of CCBHC certification requirements.
  • Coordinates and processes medical record requests from the New Hampshire Department of Health and Human Services (DHHS), Social Security Administration (SSA), legal entities, and other authorized requestors.ย 
  • Ensures requests are completed accurately and within required timelines.ย 
  • Maintains documentation of disclosures in accordance with HIPAA, 42 CFR Part 2, and organizational policies.ย 
  • Collaborates with clinical teams to obtain missing documentation when necessary.
  • Monitors outreach activities completed by clinical teams to ensure organizational standards for client engagement are met; and updates activities to comply with CCBHC requirements.
  • Identifies overdue outreach attempts and communicates with appropriate supervisors and staff.ย 
  • Generates and sends treatment engagement letters in accordance with agency policies.ย 
  • Tracks client response to engagement efforts.ย 
  • Assists in initiatives designed to improve client retention, engagement, and access to services.
  • Coordinates agency-wide case closure processes.ย 
  • Reviews case closure requests for completeness and policy compliance.ย 
  • Tracks pending and completed case closures.ย 
  • Monitors trends in case closures and prepares summary reports for leadership.ย 
  • Identifies patterns that may indicate barriers to treatment engagement or access to care.
  • Assists with correspondence, forms, reports, and data entry.ย 
  • Supports department projects as assigned; to include CCBHC Certification and RHT Initiatives.
  • Maintains confidentiality of all protected health information.ย 
  • Participates in department meetings, committees, and organizational initiatives.ย 
  • Supports implementation of new quality improvement processes and workflows; including implementation of the continuous quality improvement plan, as required for CCBHC certification.ย 
  • Performs other duties as assigned.

Physical Demands and Working Conditions

The majority of the work takes in the office setting with occasional remote work permitted. Manual dexterity is needed to use computers and standard office equipment. The ability to sit or stand for extended periods of time is required. Reliable transportation is required for travel to/from and between office locations. Reliable internet for remote work is required for this role.

Requirements

Qualifications and Skills

  • One to three years of administrative or healthcare experience, Bachelor's degree preferred.ย 
  • Experience working with electronic health records.ย 
  • Experience handling confidential medical information.ย 
  • Experience with quality improvement, compliance, medical records, or healthcare operations preferred.
  • Strong organizational and time management skills.ย 
  • Excellent written and verbal communication.ย
