Job description

The Job Cost & Purchasing Data Entry Clerk is responsible for the accurate and timely entry, review, and correction of job labor and job cost data, and for supporting purchasing and materials functions. This role reviews labor and rework transactions for accuracy, allocates shop consumables to jobs, and processes the receipt of purchased materials in EPICOR. Success in this role requires strong attention to detail, solid data entry skills, and the ability to work closely with production, shop, and purchasing staff to keep job cost and inventory records accurate and current.

Requirements
What You'll Do:
  • Review daily job labor entries for accuracy and completeness; identify and correct coding errors, missing time, and misallocated hours in EPICOR.
  • Review rework labor transactions, determine appropriate job/cost coding, and adjust time entries accordingly.
  • Reconcile labor and rework entries against production and shop records; follow up with supervisors and shop personnel to resolve discrepancies.
  • Allocate materials issued from shop consumables/stock to the appropriate jobs, ensuring accurate job costing and inventory relief.
  • Receive purchased materials into EPICOR against purchase orders, verifying quantities, part numbers, and pricing against packing slips and vendor documentation.
  • Research and resolve receiving discrepancies (quantity, pricing, or part number mismatches) with purchasing and/or vendors.
  • Maintain organized, accurate records of job cost, labor, and receiving transactions to support audits and month-end close.
  • Assist the Purchasing department with data entry, purchase order updates, and vendor documentation as needed.
  • Generate and review job cost and labor reports to identify trends, errors, or anomalies for management.
  • Communicate regularly with shop, production, and accounting personnel to ensure job cost data integrity.
  • Perform other related data entry, clerical, and administrative duties as assigned.

Who You Are:
  • High school diploma or equivalent (GED) required.
  • Prior data entry experience required.
  • Experience with job costing, labor tracking, or manufacturing/production environments preferred.
  • Purchasing, receiving, or procurement experience is a plus.
  • Experience with EPICOR or a similar ERP/MRP system is a plus.
  • High degree of accuracy and attention to detail when entering and reviewing data.
  • Strong organizational skills and ability to manage multiple tasks and deadlines.
  • Basic proficiency with Microsoft Excel and Outlook; ability to learn EPICOR quickly.
  • Good written and verbal communication skills; comfortable interacting with shop, production, and purchasing staff.
  • Ability to work independently, follow established procedures, and escalate issues appropriately.
