Position Summary

The Operations & Supply Chain Associate is responsible for supporting the day-to-day execution of procurement, inventory management, logistics, warehouse coordination, shipping & receiving, labeling, chain-of-custody documentation, and supply chain operations. This role ensures materials, consumables, and products are available when needed, inventory records remain accurate, and shipments are executed efficiently across internal operations and external partners.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. This individual will work closely with internal teams, suppliers, contract manufacturers, warehouses, and logistics providers to support the company's growth and operational success.

Key ResponsibilitiesProcurement & Purchasing
  • Purchase laboratory, manufacturing, packaging, and operational consumables.
  • Create and manage purchase orders and track supplier deliveries.
  • Maintain relationships with suppliers and service providers.
  • Obtain quotations, compare pricing, and support vendor selection.
  • Assist with supplier negotiations and contract renewals.
  • Monitor spending and identify opportunities for cost savings.
Inventory Management
  • Maintain accurate inventory records across company locations, CDMOs, and third-party warehouses.
  • Monitor inventory levels and proactively reorder materials to prevent shortages.
  • Support inventory forecasting and material planning activities.
  • Investigate inventory discrepancies and coordinate corrective actions.
  • Conduct inventory audits and cycle counts.
  • Maintain inventory reports, dashboards, and tracking systems.
Logistics & Shipping
  • Coordinate domestic and international shipments.
  • Prepare shipping documentation, commercial invoices, customs paperwork, regulatory compliance paperwork, and other required records.
  • Arrange freight pickups, deliveries, and transportation services.
  • Maintain shipment tracking logs and provide updates to stakeholders.
  • Work with freight forwarders, customs brokers, carriers, and warehouse partners.
  • Resolve shipment delays, customs issues, and logistics challenges.
Warehouse & Operational Support
  • Support warehouse organization and inventory control processes.
  • Coordinate receiving, storage, fulfillment, and shipment activities.
  • Ensure materials are properly labeled, tracked, and stored.
  • Assist with implementation of inventory and operational best practices.
  • Support operational projects and process improvement initiatives.
Cross-Functional Coordination
  • Partner with Manufacturing, Product Development, Quality, R&D, Finance, and external partners.
  • Support contract manufacturers (CDMOs) and third-party logistics providers (3PLs).
  • Maintain accurate records within ERP, inventory management, and procurement systems.
  • Generate reports and provide operational updates to leadership.
QualificationsRequired
  • Bachelor's degree or equivalent experience in Supply Chain, Operations, Business, Logistics, Life Sciences, or related field.
  • 2-5 years of experience in purchasing, inventory management, logistics, warehouse operations, or supply chain coordination.
  • Strong organizational and project coordination skills.
  • Excellent attention to detail and data accuracy.
  • Experience with spreadsheets and inventory tracking systems.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
Preferred
  • Experience in biotechnology, agriculture, manufacturing, food production, or life sciences.
  • Familiarity with ERP, MRP, or inventory management systems.
  • Experience with international shipping and import/export documentation.
  • Experience working with suppliers, contract manufacturers, or logistics providers.

Location: Vacaville, CA (Hybrid, 2-3 days per week in office)

Compensation: $60,000-70,000 base salary.
