Job Summary
Reporting to: Director of Facilities
Job Summary: The Facility Manager, will be responsible for overseeing day-to-day facility operations for the Seabury-Rowe-Butler (SRB) building, including purchasing, mail management, and general facility needs. This role will also support the consolidation of purchasing across three designated buildings to improve efficiency, cost control, and operational consistency.
The ideal candidate is highly organized, service-oriented, and experienced in facilities operations, procurement coordination, and vendor management.
Responsibilities
Facility Operations
• Oversee daily facility needs for the SRB building, ensuring a safe, clean, and functional work environment
• Coordinate repairs, maintenance requests, and space needs with vendors and internal teams
• Conduct routine facility inspections and address issues proactively
Purchasing & Inventory Management
• Manage purchasing for supplies, equipment, and facility-related needs for the SRB building
• Support the consolidation of purchasing across the three buildings to streamline ordering and reduce costs
• Track inventory levels and ensure adequate stock of office and facility supplies
• Work with Finance and Procurement to ensure purchasing follows company policies and budgets
Mail & Logistics Management
• Oversee mailroom operations including receiving, sorting, and distributing mail and packages
• Ensure timely and accurate delivery of internal and external correspondence
• Coordinate shipping and courier services as needed
Vendor & Contract Management
• Serve as the primary point of contact for facility-related vendors (maintenance, cleaning, security, supplies, etc.)
• Monitor vendor performance and escalate issues as needed
• Assist with negotiating and managing service contracts
Process Improvement
• Develop standardized processes for purchasing, mail management, and facility support
• Identify opportunities to improve efficiency and reduce operational costs
• Maintain documentation of procedures and workflows
Compliance & Safety
• Ensure compliance with safety standards, building regulations, and company policies
• Support emergency preparedness and response procedures
Qualifications
Required Qualifications
• 3-5+ years of experience in facilities management, office operations, or purchasing coordination
• Experience managing purchasing and inventory processes
• Strong organizational and problem-solving skills
• Excellent communication and customer service abilities
• Proficiency in Microsoft Office and inventory or purchasing systems
• Ability to manage multiple priorities in a fast-paced environment
