Job Description

The Purchasing Assistant supports the supply chain function by coordinating purchasing, shipping, receiving, and inventory management activities for parts and accessories. This role works closely with multiple departments to ensure accurate material management, timely order processing, and smooth internal transfers, using MS Dynamics 365 and Excel to maintain up-to-date records and reports.

Responsibilities

  • Order, track, and maintain appropriate inventory levels of parts and accessories to support operational needs.
  • Update inventory data accurately in ERP and CRM systems, including MS Dynamics 365.
  • Pick and pack internal transfer requests and process related transactions in the ERP system.
  • Receive, label, and put away inbound products from vendor orders and internal transfers in a timely and organized manner.
  • Verify vendor and internal paperwork for accuracy and post transactions in the ERP system.
  • Process purchase orders for requests from multiple departments and send orders to vendors as required.
  • Handle internal communication via email, Microsoft Teams, or designated reports to keep stakeholders informed.
  • Deliver internal transfers to the appropriate departments as needed.
  • Support the parts department with technical research and customer order fulfillment activities.
  • Assist with the cycle count program and participate in physical inventory counts to ensure inventory accuracy.
  • Perform related supply chain and administrative duties as business needs arise.
  • Provide general support for material management activities across all departments, including purchasing, shipping, and receiving of parts and accessory inventory.

Essential Skills

  • Experience with purchasing processes, including creating and processing purchase orders.
  • Hands-on experience with inventory management, including tracking, receiving, and cycle counting.
  • Ability to perform invoicing and basic accounts payable support related to purchased goods and services.
  • Proficiency with MS Dynamics 365 or similar ERP systems for purchasing, inventory, and transaction processing.

Pay and Benefits
