Job description

Job Title: Purchasing Coordinator

Location: Addison, TX — On-site

Employment Type: Full-time

About Us

Headboards World is a custom upholstered furniture manufacturer based in the Dallas-Fort Worth area, specializing in headboards, beds, and custom upholstery for direct consumers, interior designers, and trade clients nationwide.

About the Role

We're looking for a Purchasing Coordinator to manage sourcing and procurement across our production materials, fabric and upholstery supplies, wood, hardware, and workroom supplies used for both custom/COM orders and our standing product line. This role keeps materials flowing on schedule, manages vendor relationships across multiple supply categories, and helps us source more efficiently as we grow.

Responsibilities

  • Maintain appropriate stock levels for core materials used in our standing product line — enough to avoid shortages without overbuying
  • Manage vendor relationships across multiple supply categories, including fabric/upholstery, wood, hardware, and workroom supplies
  • Evaluate and help establish stronger vendor accounts and pricing as our volume grows, including moving routine supply purchases from retail sourcing to established wholesale/distributor accounts where it makes sense
  • Communicate with manufacturing leadership on material needs and confirm lead times before orders are committed to a production date
  • Track incoming shipments and flag delays, damage, or discrepancies before they affect production
  • Track purchase orders, deliveries, and invoice accuracy
  • Negotiate pricing and terms with vendors and identify cost-saving opportunities without compromising quality or reliability
  • Maintain accurate, organized purchasing records and documentation
  • Coordinate minor office and showroom supply needs as they arise
  • Source and order materials for specific production orders, including customer's own material (COM) coordination, on timelines that keep production schedules on track

What We're Looking For

  • Experience in purchasing, procurement, or supply chain, ideally in a manufacturing environment
  • Comfortable managing multiple vendor categories and both order-driven sourcing and ongoing inventory/reorder planning
  • Some experience with vendor negotiation or account setup a plus
  • Strong organizational skills and attention to detail
  • Basic comfort with spreadsheets or inventory tracking tools; ERP experience a plus
  • Experience with fabric, textile, or furniture-related materials a plus, not required
  • Ability to work on-site and collaborate closely with our production team daily.

Growth Opportunity

Headboards World is actively scaling manufacturing capacity, and our purchasing needs are growing with it. This role is designed to grow in scope as our vendor relationships, order volume, and sourcing complexity increase, including a formal review of responsibilities and compensation as the role expands into more strategic vendor negotiation, supplier qualification, and cost management. This is a real opportunity to grow with the company into a more senior purchasing or procurement position, not a fixed, static role.

Why Headboards World

  • Real ownership over sourcing and inventory decisions as we scale
  • Direct collaboration with ownership and manufacturing leadership
  • Growing company, competitive pay, genuine room to grow into a broader role as our purchasing needs evolve.
