Description

We are seeking a mission driven Project Coordinator to join Team Red Pulley in supporting the Defense Health Agency Small Business Office (DHA SBO). Do you want your program/program management and governance expertise to directly strengthen the Department of Defense small business ecosystem and expand opportunities for emerging firms supporting the military health mission?


In this role, you will provide essential coordination, reporting, and administrative support across business execution, strategic communications, outreach, and Mentor-Protege Program (MPP) activities. Your work will directly support DHA's mission to expand small business participation while ensuring regulatory compliance and operational excellence


Location: Location: Falls Church, VA
Work Environment: Government facility support as directed

Requirements

Minimum/General Experience: 3+ years of experience providing project coordination, administrative, or program support within a federal government environment
Minimum Education: Bachelor's degree in Business, Public Administration, Management, or related field OR Associate degree with 4+ years of relevant project coordination or administrative support experience
Qualifications:

  • Demonstrated experience supporting federal programs, preferably within DoD or DHA environments
  • Working knowledge of federal acquisition and compliance frameworks, including:Federal Acquisition Regulation (FAR),Defense Federal Acquisition Regulation Supplement (DFARS),Small Business Act, Mentor-Protege Program structures and governance
  • Experience preparing, tracking, and maintaining program documentation, schedules, and deliverables
  • Ability to coordinate across Government leadership, contractors, mentors, proteges, and compliance offices
  • Strong organizational skills with the ability to manage multiple concurrent tasks and deadlines
  • Excellent written and verbal communication skills for Government-facing documentation
  • Proficiency with Microsoft Word, Excel, PowerPoint, and SharePoint

Key Tasks:

  • Provide day-to-day project coordination support across DHA SBO business execution, communications, outreach, and MPP activities
  • Track and support delivery of contract deliverables, including:Weekly Small Business Achievement Reports,Semi-Annual Subcontracting Reports,Monthly Progress Reports,Outreach recommendations and authorization packages
  • Assist with daily monitoring and routing of communications from DHA SBO mailboxes, industry sources, and Government stakeholders
  • Support preparation of meeting agendas, briefing materials, minutes, and follow-up documentation
  • Coordinate outreach events, including scheduling, logistics tracking, attendance metrics, and post-event summaries
  • Maintain documentation repositories, version control, and content updates on DHA SharePoint platforms
  • Support Mentor-Protege Program activities, including:Tracking agreement documentation and approval workflows,Supporting needs assessments and program reviews,Assisting with budget and expenditure tracking
  • Track action items, risks, and decisions to maintain audit-ready records
  • Ensure proper contractor identification and compliance with non-personal services requirements at all times

  • Active Secret Security Clearance (preferred)
  • Ability to maintain DoD clearance eligibility
