The Program Specialist 5 directs and advises leadership and other administrators on activities involved in providing programs at PSNS, Manufacturing and Trades. The Program Specialist 5 PSNS/Manufacturing and Trades achieves Instruction's goals and objectives by providing, obtaining, and/or coordinating PSNS/Manufacturing and Trades activities. Including monitoring and maintaining contracts that grant Olympic College access and use of PSNS faculties.
Essential Functions- Develop and manage quarterly class schedules across divisions, including coordination with faculty, PSNS, and the Dean.
- Enter and maintain accurate course data in ctcLink and ensure proper class assignments.
- Review draft schedules to identify and resolve conflicts in room, time, and instructor assignments.
- Provide daily front-line support to students, assisting with logins, scheduling, forms, and general inquiries.
- Maintain consistent office coverage and ensure accessibility for students and faculty.
- Serve as a liaison connecting students to campus services including Advising, IT, Financial Aid, and the Test Center.
- Coordinate daily administrative operations for Manufacturing & Trades.
- Prepare reports on enrollment, scheduling trends, and program data to support decision-making by the Dean.
- Compile and analyze data from ctcLink to generate operational and strategic reports.
- Support recruitment processes including job descriptions, interview coordination, and hiring documentation.
- Coordinate onboarding requirements for faculty and trade instructors (credentials, system access, compliance forms).
- Assist with faculty contract review, corrections, and submission to ensure timely payment.
- Coordinate purchasing processes including inventory tracking, vendor coordination, and compliance with small business requirements.
- Coordinate with ABO and IT to ensure procurement aligns with institutional and federal guidelines.
- Maintain student cohorts and monitor progress toward certificates and degree completion.
- Submit accurate and timely completion lists to evaluators for certificates and graduation.
QualificationsMinimum Qualifications- High school diploma or equivalent
- Three years of program oversight and/or management experience and intermediate Microsoft Excel proficiency.
Preferred Qualifications- Bookkeeping Experience
- Five years of program oversight and/or management.
- Experience managing large and complex contracts and partnerships.
- Experience working in a higher-educational institution.

This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $67,716 - $91,068* annually. All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Association (WPEA) Union. Classified positions qualify for the following benefits:
