Job description

Administrative Assistant

DAS is seeking a detail-driven Administrative Assistant to support the Personnel Reliability Program (PRP) office at Marine Corps Security Force Battalion, Naval Submarine Base Kings Bay. In this role you will run the day-to-day administrative operations of a PRP office supporting hundreds of certified Marines and Sailors and serve as the PRP office representative during the absence of the Certifying Officials. PRP certification status determines who is authorized to perform the command's specialized duty assignments, so the accuracy of every folder, database entry, and status action in this seat has a direct operational effect.

Key Responsibilities
  • Generate paperwork for suspensions, decertifications, and reinstatements, and ensure all PRP paperwork is routed and tracked to closure
  • Create personnel folders for all newly reporting personnel and enter them into the PRP database
  • Maintain PRP folders by updating all paperwork that affects PRP status
  • Update the PRP and Readiness Insight databases, including entries for annual training requirements
  • Generate and track queries of individuals in the PRP program for the Certifying Officials, including record review, orientation, inspection, and full PRP rosters
  • Track and document initial and annual PRP training, and assist with delivery of annual PRP training and initial orientation training
  • Coordinate with battalion medical to maintain 100% health record accountability and track records held for medical visits
  • Match personnel medical and dental records to derogatory records for review by the Certifying Officials
  • Act as the PRP office representative during the absence of the Certifying Officials, conducting day-to-day transactions excluding PRP status decisions
  • Control office foot traffic, receive and secure PRP badges before personnel report to medical or dental or depart on leave, TAD, or TDY, and return them on the reverse transaction
  • Field questions from personnel on PRP requirements, such as documentation needed for reinstatement
  • Communicate with companies and platoons to request that individuals, documentation, or supervisory personnel report to the PRP office
  • Pick up PRP correspondence from the battalion administrative and mail room offices
  • Perform filing, typing, copying, and phone coverage, and maintain the PRP office spaces
Required Qualifications
  • Active Secret security clearance
  • Knowledge of Personnel Reliability Programs
  • Proficiency in Microsoft Office, including Excel, Access, Word, PowerPoint, and Outlook
  • Database entry skills
  • General office administrative skills including filing, typing, and answering phones, with the ability to communicate effectively by phone and face to face at all levels of command
  • Valid state driver's license
  • Able to lift at least 30 lbs
  • Able to work on-site full time at Naval Submarine Base Kings Bay, Georgia
Preferred Qualifications
  • 2 years' experience as a certified PRP member.
  • 1 year as a PRP monitor, clerk, or administrative assistant within an active PRP office
  • Working familiarity with DoDM 5210.42M and SECNAVINST 5510.35D
  • Experience with Readiness Insight or comparable Navy or Marine Corps personnel status databases
  • Prior service or experience supporting a Navy or Marine Corps command
  • Front-office or customer-facing experience inside a government office
