Job Summary and Qualifications

The Manager, in collaboration with the Director, is responsible for the operational and financial outcomes of the Transplant and HLA Lab department. The Manager oversees supervision of staff and day-to-day operations to include business office support, clerical functions, education and training, adherence to policies and procedures, contracting and payor contracts support, performance improvement processes, patient experience, physician satisfaction, and creating presentations for internal and external use. This position is also responsible for collaboration on outreach initiatives related to service line growth and program development and will assume responsibilities of the Director when the Director is absent. 

The Manager must maintain knowledge of UNOS, the OPTN, and all regulatory program elements of the Joint Commission that are required for an accredited transplant program. This role is involved in and leads interdisciplinary meetings with hospital leadership, physicians, community stakeholders, accrediting organizations, and HCA service line leadership within the Enterprise. 

  • You will assist with the development and implementation of the Transplant Clinic’s business plan and budget. 
  • You will function as the liaison with department directors/mangers/supervisors and responds to their general questions assisting where possible. 
  • You will oversee the clerical operation and the day-to-day administration of the office to ensure smooth operation, maintain established policies and procedures, objectives, and safety standards. 
  • You will coordinate and prepare all reports for compliance portion of the Transplant Service, pre-cert, and re-cert process, and medical director timesheets. Assist Quality Coordinator with UNOS, CMS, and JCAHO auditing requirements. 
  • You will create and prepare presentations for internal and external customers. 
  • You will coordinate in-house and outside community educations functions. 
  • You will be responsible for the daily entry of payroll, daily reporting of statistic and reconciliation of the plus report to actual staffing patterns. 
  • You will coordinate the human resource function of the Transplant Service to include processing of paperwork and tracking of new employees, maintenance of hospital specific employee records, competency timelines, and coordinates completion of timely evaluation with managers and supervisors. 
  • You will ensure contracts are in place with providers prior to appointment being scheduled and bill getting paid. 
  • You will collaborates with the Contracts Management team to maintains files on all original contracts and ensures timely completion of all contract renewals. 
  • You will collect and prepare data for reports relative to needs of the department and requests of the Director on a timely basis. 
  • You will provide contract compliance education to all employees and specific topics for department specific issues when requested by the Clinical Director. 
  • You will greet all stakeholders in a professional, prompt and courteous manner and follows up in a timely and ethical manner. 
  • You will assist Clinical Director in coordinating an ongoing program to educate employees and the medical staff on contract compliance issues, and any legal implications. 
  • You will conduct quarterly/annual contract audits (contract log vs. contract file). 
  • You will review all Physician Referral Source Check Request submitted for reimbursement. 
  • You will reflect the Company’s values and a commitment to the Code of Conduct ethics and compliance program. 
  • You will understand surgical and procedural service line and contributes to develop a clear service line strategy and growth plan. 
  • You will be responsible for building data-driven business cases for strategic growth proposals 
  • You will demonstrate a deep understanding of the clinical operations within the surgical services area and outpatient clinic area. 
  • You will conduct consultative sales meetings with customers to gain a thorough understanding of customer needs and requirements 
  • You will be responsible for the growth of new service line business while serving as an extension of hospital leadership. 
  • You will collaborate with Department Director and COO to evaluate, analyze, and interpret current physician referral patterns and trends. 
  • You will develop goals and timelines for growing referral volumes based on new or established physician and outreach medical facility relationships. 
  • You will conduct follow-up meetings with physicians to close new or additional business, ensuring that internal and external obstacles to business growth and retention are identified. 
  • You will meet regularly with physicians and hospital staff from referring hospitals to ensure that a thorough understanding is gained regarding their desires and needs. 
  • You will participate in interdepartmental meetings and processes to improve patient care and outcomes. 
  • You will be responsible for maintaining required program elements, service-line manuals and current policies and procedures as well as assisting the Director with the performance improvement process for the departments. 
  • You will be responsible for the day to day business support, clerical (as needed), medical record and patient accounting functions, as well as reception and patient scheduling, as needed. 

What qualifications you will need:
  • Minimum 3+ years’ managerial experience in hospital or clinic operations; or Minimum 3+ years’ experience in progressive healthcare sales in hospitals, pharmaceuticals, or device sales. 
  • Completion of a Bachelor’s degree with healthcare experience; RN preferred. 
  • Proficiency in Microsoft programs including Word, Excel, and PowerPoint Effective communication skills; both orally and in writing 
  • Strong customer service and problem-solving skills 
  • Time-management skills and ability to establish priorities and make independent decisions of a complex nature
