The IT Manager, Vendor and Contracts is responsible for the day-to-day execution of Patrick IT's vendor management and contracting activities within the Vendor Management Office (VMO). This role owns the operational discipline behind sourcing, contract lifecycle management, vendor performance tracking, and rationalization execution, ensuring Patrick IT gets consistent value, terms, and service levels from its third-party ecosystem.

Responsibilities & Duties

Contract Lifecycle Management

  • Own the end-to-end contract lifecycle for Patrick IT vendors, including drafting, negotiation support, execution, renewal, and expiration tracking
  • Maintain a centralized contract repository with accurate terms, renewal dates, pricing, and obligations
  • Standardize contract templates, terms, and clauses in partnership with Legal to reduce cycle time and risk
  • Track and manage contract renewal timelines to avoid unplanned auto-renewals or lapses in coverage
  • Ensure contract terms are accurately reflected in downstream systems used for asset and financial tracking

Vendor Performance & Relationship Management

  • Establish and maintain the strategic vendor portfolio, identifying the critical relationships that warrant executive-level attention and dedicated management
  • Establish and operate the cadence and practice for managing strategic vendor relationships, including regular business reviews, relationship health checks, and joint planning sessions
  • Manage day-to-day relationships with assigned vendors, serving as the primary operational point of contact
  • Administer vendor performance scorecards, SLAs, and business review cadences established by the VMO
  • Monitor vendor performance against contractual obligations and escalate issues or underperformance
  • Coordinate corrective action plans with underperforming vendors and track remediation progress
  • Support vendor onboarding and offboarding activities in line with VMO policies and standards

Sourcing & Contract Efficiency

  • Support sourcing events, RFPs, and competitive bids for new and renewing vendor relationships
  • Analyze vendor proposals and pricing to support negotiation strategy and decision-making
  • Drive reduction in contract cycle times through process standardization and proactive renewal planning
  • Identify opportunities to consolidate purchases and negotiate improved volume pricing

Vendor Rationalization Execution

  • Execute vendor rationalization initiatives identified by the VMO, including consolidation, renegotiation, and vendor exits
  • Maintain the vendor inventory and segmentation model, keeping strategic, tactical, and transactional classifications current
  • Track and report savings and efficiency gains delivered through rationalization and renegotiation activities
  • Identify redundant or overlapping vendor relationships across business units and recommend consolidation opportunities

Vendor Risk & Compliance Support

  • Support vendor risk assessments, including financial health, cybersecurity, and business continuity reviews
  • Ensure vendor contracts and engagements comply with Patrick IT policies and procurement standards
  • Maintain documentation to support audit and compliance requests related to vendor contracts

Financial Management Support

  • Validate vendor invoices against contract terms and actual usage in partnership with Finance and Asset Management
  • Track vendor spend against budget and flag variances or anomalies
  • Support the total cost of ownership (TCO) model by ensuring contract cost data is accurate and current

M&A Vendor Integration Support

  • Support IT due diligence for mergers and acquisitions by assessing acquired entities' vendor contracts and terms
  • Lead harmonization of acquired vendor contracts into Patrick IT's contract repository and VMO processes
  • Support consolidation of duplicate or overlapping vendor relationships resulting from acquisitions

Leadership & Team Development

  • Lead and develop a team of vendor and contract analysts or coordinators
  • Build a culture of accountability, accuracy, and continuous improvement within the vendor and contracts function
  • Provide day-to-day guidance, prioritization, and coaching to team members

  • Experience in decentralized, multi-site, or acquisition-driven environments preferred
  • Manufacturing or industrial sector experience is a plus
