Position Summary

We are seeking a Protocol Specialist to support a branch of the Dept. of Homeland Security (DHS) operations in a professional, fast-paced environment. This role is responsible for coordinating distinguished visits, managing ceremonies and official events, supporting command meetings, and providing administrative and guest-support services. US citizenship is REQUIRED for this position.

Responsibilities

• Coordinate base-wide tours and distinguished visits, including itineraries and transportation.
• Conduct scheduled tours for newly hired employees, visitors, and other approved guests.
• Lead specialized tours for civic groups, schools, government reps, and other designated visitors.
• Greet arriving aircraft, arrange visitor transportation, and escort guests throughout the base.
• Manage visitor itineraries and ensure smooth, professional guest experience.
• Set up and operate audio/visual equipment for meetings and events.
• Coordinate the Commanding Officer’s conference room schedule and related support tasks.
• Attend designated meetings, record minutes, and publish meeting notes.
• Maintain weekly briefing materials and keep Command Brief current and accurate.
• Plan and support ceremonies, retirements, promotions, awards, receptions, and other official functions.
• Prepare invitations, scripts, speeches, and programs as needed.
• Support Wardroom social functions and recognition programs.
• Assist the Commanding Officer’s Secretary and other administrative duties as assigned.

Required Qualifications

• A minimum of a High School Diploma or equivalent
• U.S. citizenship is REQUIRED.
• Ability to read, write, speak, and comprehend English.
• Excellent written and oral communication skills.
• Knowledge of Microsoft Office applications.
• Ability to perform simple arithmetic.
• Ability to manage multiple tasks with competing deadlines.
• Ability to work with minimal government oversight.
• Two (2) years of exp.in protocol and event planning, including coordination of ceremonies, receptions, and official events involving dignitaries, military personnel, civilian representatives, and senior officials; preferably in a military or federal setting.
• Successfully pass a background check and have public trust or the ability to obtain one.
• Ability to obtain Military/DoW Protocol Specialist certification within twelve (12) months of hire.

Preferred Qualifications

• One year of experience with DHS or U.S. Coast Guard procedures.
• Proficiency with ALMIS.
• Proficiency with AMMIS.

Work Environment & Schedule

• Full-time on-site location
• Periodic travel to client meetings, planning sessions, or program events as needed
• May be asked to work outside of normal business hours for mission critical actions and to meet project requirements
