Proposal Center Coordinator II

In our production coordinator group, we primarily work on bids for government healthcare, state and local agencies, and transportation.

Job Functions:
The Proposal Center Coordinator II is responsible for managing all aspects of the production and formatting of government proposal response documentation. Documents range from a few pages to multi-thousand.
Responsibilities include:
  • Uses advanced MS Word features, creates solicitation-specific templates, and formats all response documents as a Desktop Publisher.
  • Reviews and documents all production-related requirements within the RFP and serves as the production central point of contact for the entire proposal team.
  • Responsible for the publication schedule and establishing production deadlines in tandem with Proposal Management.
  • Maintains and customizes proposal tools and templates.
  • Proactively participates in meetings and conference calls to gather/communicate information concerning document layout and production process and represent the Production function.
  • Controls and tracks text and graphics using correct processes, ensuring version control in tandem with the Graphic Designers.
  • Prepares documents/proposals for review/final submission (formatting in MS Word, Excel and PDF).
  • Communicates with vendors to secure supplies and assure on-time completion of document reproduction.
  • Prepares the proposal for book check and assists with the process.
  • Packages the proposal for shipment, and tracks delivery if sent by carrier.
  • May be required to take on additional responsibilities for smaller proposals or presentations (e.g., gather baseline documents, complete forms).
  • This is work-from-home position with a one-day-a-week in office requirement. If the Production Coordinator has a scheduled production office time will be required to support that effort.
  • Other duties as assigned.

Minimum Education, Skills, and Experience Requirements:
  • Advanced knowledge of MS Office applications, specifically MS Word and MS Excel.
  • Knowledge of MS Project and MS SharePoint is a plus.
  • Strong attention to detail and ability to prioritize are required.
  • Sense of urgency, thrives in a deadline-driven environment.
  • Ability to read and follow specific instructions producing documents with minimal errors and the highest level of precision is critical for multi-million-dollar proposal responses.
  • Strong organizational and communication skills (written and verbal) are essential.
  • Must be able to multitask.
  • Proofreading skills, keen attention to detail, and ability to handle stressful situations are a must while collaborating well with others and being willing to take on additional responsibilities as needed to get to the best outcome for the team, department, and organization to include:
    • Schedule and outline reviews.
    • Meeting organization and collaboration.
    • Collaboration with writers, graphics, and proposal leadership.
  • Willingness to work extended hours and assist other production staff in meeting deadlines as a team player.
  • Basic familiarity with graphics programs desirable but not necessary.
  • Very dependable and exceptional customer service skills.
  • Able to life and move items up to 40 pounds.
  • Bachelor's degree or 2 years of experience in document production and control, or the equivalent in experience.

Please note: This is a Hybrid position working mostly from home. If the Production Coordinator has a scheduled production, then office time will be required to support that effort. Candidate must live a commutable distance from Germantown, MD.

Pay Transparency Laws in some locations require disclosure of compensation and/or benefits-related information. For this position, actual salaries will vary and may be above or below the range based on various factors including but not limited to location, experience, and performance. In addition to base pay, this position, based on business need, may be eligible for a bonus or incentive. In addition, Conduent provides a variety of benefits to employees including health insurance coverage, voluntary dental and vision programs, life and disability insurance, a retirement savings plan, paid holidays, and paid time off (PTO) or vacation and/or sick time. The estimated salary range for this role is $74,000 - $97,000.
