Position Summary

The Proposal Specialist supports LEMOINE's pursuit, marketing, and business development efforts by leading the development of proposals, qualifications packages, presentations, and other client-facing materials. Working in a highly collaborative environment alongside Business Development, Estimating, Operations, and company leadership, this role develops compelling pursuit content, maintains strategic proposal resources, and prepares polished deliverables that support growth across LEMOINE's diverse portfolio of markets and service lines.

Primary Responsibilities
Proposal Development and Pursuit Strategy

  • Lead the preparation, coordination, and organization of proposals, qualifications packages, resumes, project descriptions, forms, presentations, and related documentation.
  • Develop and refine proposal content, compliance matrices, response outlines, schedules, data calls, review materials, and final production files.
  • Translate technical, operational, and service-line information into compelling, evaluator-focused proposal content that reinforces pursuit strategy.
  • Develop, maintain, and continuously improve reusable proposal content, including resumes, project experience, standard responses, service descriptions, differentiators, proof points, and pursuit-ready language.
  • Coordinate with Business Development, Marketing, Operations, Estimating, and technical team members to keep proposal efforts organized, accurate, and deadline-ready.
Industry Positioning
  • Develop and organize pursuit messaging that communicates LEMOINE's capabilities, differentiators, project experience, and value across multiple markets and service lines.
  • Create and maintain content for proposals, presentations, print collateral, and other client-facing business development resources.
  • Organize service-line proof points, project examples, team qualifications, performance metrics, project photography, and standard content for easy reuse.
  • Maintain consistent messaging across proposals, presentations, project sheets, and other business development materials.
Presentations and Marketing Content
  • Create and update presentations for proposals, pursuit interviews, client meetings, capability presentations, and internal business development initiatives.
  • Prepare polished client-facing marketing and business development materials, including project sheets, capability statements, print collateral, one-pagers, and other branded materials.
  • Collaborate with Marketing to ensure all deliverables align with LEMOINE's brand standards and maintain a high level of quality and visual consistency.
Leadership and Team Support
  • Maintain and update trackers, presentations, and supporting materials that help leadership and Business Development teams prepare for pursuits, client meetings, interviews, and strategic planning discussions.
  • Keep proposal trackers and planning tools current by updating assignments, schedules, and pursuit information to support team coordination and workload planning.
  • Prepare reports, status updates, and other materials that communicate pursuit activity, priorities, and progress to leadership.
Content and Information Management
  • Maintain and organize project information, resumes, project statistics, service-line content, proposal templates, presentation assets, and marketing materials for easy reuse.
  • Develop and maintain pursuit resources, standard content, and business development materials to ensure information remains accurate, current, and readily accessible.
  • Identify missing information, coordinate content updates with internal teams, and improve the quality and consistency of shared proposal and business development resources.
QualificationsRequired
  • Bachelor's degree or relevant professional experience in business, graphic design, marketing, communications, journalism, English, public relations, construction management, or a related field.
  • 3+ years of professional experience supporting proposals, business development, marketing, communications, or a related professional services environment.
  • Advanced proficiency in Adobe InDesign with experience producing print-ready proposal documents.
  • Strong proposal development, writing, editing, proofreading, organization, and attention to detail.
  • Demonstrates initiative, sound judgment, and the ability to manage multiple priorities in a collaborative, deadline-driven environment.
  • Ability to lead multiple concurrent pursuits, coordinate competing priorities, and produce high-quality, professional deliverables under tight deadlines.
  • Experience developing proposal content, presentations, positioning materials, and business development resources.
  • Proficiency with Microsoft Office.
  • Ability to communicate effectively and collaborate with Business Development, Marketing, Operations, Estimating, technical teams, and company leadership.
  • Experience developing and maintaining content libraries, project information, resumes, presentation materials, marketing assets, and business development resources.
Preferred
  • Experience within the architecture, engineering, and construction (AEC) industry or a related professional services environment.
  • Experience preparing proposals, qualifications packages, interview presentations, and other client-facing business development materials.
  • Familiarity with CRM systems, Adobe Creative Cloud, or other content management tools.
