Support winning AEC proposals and project pursuits as a Business Development / Proposal Coordinator.


THE ROLE

The Business Development / Proposal Coordinator (BD Coordinator) supports the prequalification, proposal development, and project pursuit activities across the firm, collaborating and supporting the Proposals Manager, engineering discipline leaders, and Marketing team to bring in new business opportunities across the firm. This role is ideal for someone motivated by winning work through strong technical and persuasive writing and who is looking to strengthen their career and help expand a purpose-driven, employee-owned engineering firm. The responsibilities include:

Proposal Development

  • Generate proposal content, including resumes, graphics, and technical narratives to create polished, persuasive submissions that meet guidelines for all types of SOQs, RFPs, and prequalification forms.
  • Coordinate teams during the proposal life-cycle that include both internal and external members, ensuring inputs from the Proposals Manager,
  • PMs, technical staff, subconsultants, and marketing align and arrive on time.
  • Compile project write-ups and tailor them to client‑specific needs and evaluation criteria.
  • Track and promote Leads, Opportunities, and Projects in Microsoft Dynamics CRM.
  • Support the delivery of competitive, client-focused proposals that align with pursuit strategy and win objectives.
  • Contribute to improving the proposal processes, templates, and win strategies.

Proposal Development

  • Research project opportunities and submit proposals utilizing procurement websites such as eMACs, QuestCDN, Bonfire, ePass, IMS, WEBS, Procureware, and others.
  • Support interviews, presentations, conventions, meetings, and conferences as needed.
  • Generate marketing materials (brochures, presentations, ads, etc.) and support the company's overall marketing strategy.
  • Support project pursuit teams and contribute to proposal strategy and coordination.
  • Prepare, coordinate, and schedule internal and external communications, as needed.
  • Assist with the development of specifications, as assigned.

YOUR STRENGTHS
  • Bachelor's degree in business, marketing, or communications.
  • Minimum of two years of relevant experience in prequalification and proposal development in the AEC Industry.
  • Proficiency in Microsoft Office Suite.
  • Technical skills in Adobe InDesign and knowledge in the entire Creative Cloud Suite.
  • Technical skills in Revu (Bluebeam), specifically in sessions and capturing redlines.
  • Experience with Microsoft Dynamics 365 CRM.
  • Experience using Copilot Studio or other AI tools, including prompt development, is a plus.
  • Strong organizational and communication skills.
  • Ability to proofread and copyedit.
  • Ability to work independently, collaboratively, and demonstrate initiative.
  • Ability to prioritize and be flexible in a fast-paced, demanding environment.
  • Familiarity with engineering terms, acronyms, language, project life-cycles, and working knowledge of how and why types of teams are formed for various market groups and projects in the AEC industry is ideal.
