Position Summary

The Proposal Coordinator supports the Estimating Department by ensuring the organization is qualified and prepared to submit competitive bids for public and private procurement opportunities. This role is responsible for assembling complete and compliant bid packages, coordinating with internal departments and external partners, and tracking deadlines to ensure timely and accurate submissions. Strong written and verbal communication skills are essential, as this role frequently interacts with individuals outside of the organization.

Essential Job Accountabilities

  • Support the Estimating Department and Business Development teams in procuring work for operational teams.
  • Review project specifications to determine eligibility to bid on government and private contracts.
  • Prepare and compile official bid submission documents in accordance with contract requirements.
  • Engage with potential subcontractors to obtain pricing and qualification documentation; log and track all communications.
  • Track firm due dates and deliverables to ensure timely bid submissions and related meetings.
  • Assist with the completion of internal qualification materials, including project references, employee resumes, certifications, and licenses.
  • Coordinate with multiple departments to gather required technical and administrative information.
  • Respond to miscellaneous internal requests and assist with special projects that support Estimating Department and organizational success.
