Property Operations Coordinator information

What is a property operations coordinator?

Property Operations Coordinators are professionals responsible for supporting the daily operations and maintenance of residential, commercial, or industrial properties. They handle tasks such as scheduling repairs, coordinating with vendors, managing work orders, and ensuring that properties comply with safety and regulatory standards. Their role is crucial in facilitating smooth communication between property managers, tenants, and service providers, ensuring properties are well-maintained and operational. They often track budgets, maintain records, and help address tenant concerns efficiently.

What are the typical daily responsibilities of a property operations coordinator, and how do they interact with other departments?

As a Property Operations Coordinator, your daily tasks often include scheduling maintenance, coordinating vendor services, processing work orders, and updating property management systems. You’ll regularly interact with maintenance staff, property managers, and accounting teams to ensure smooth operations and timely resolution of tenant requests. Strong communication and organizational skills are essential, as you'll be the point of contact between various departments, helping to streamline processes and support overall property performance.

What are the key skills and qualifications needed to thrive as a property operations coordinator, and why are they important?

To thrive as a Property Operations Coordinator, you need strong organizational abilities, attention to detail, and knowledge of property management principles, often supported by a relevant degree or experience in real estate or facilities management. Familiarity with property management software (like Yardi or MRI), scheduling tools, and maintenance tracking systems is typically required. Excellent communication, problem-solving skills, and the ability to multitask help you coordinate between tenants, vendors, and property owners. These competencies are crucial for ensuring smooth property operations, tenant satisfaction, and efficient resolution of maintenance or administrative issues.

What is the difference between a property manager and a property operations coordinator?

A property operations coordinator supports the daily functions of property management by handling administrative tasks, coordinating maintenance, and assisting with tenant communications. In contrast, a property manager has broader responsibilities, including overseeing leasing, financial management, and strategic planning for the property. The coordinator typically reports to the property manager and focuses on operational support within a team environment.

Property & Operations Coordinator

Location: Edmonton, AB
Industry: Commercial Property Management
Salary Range: $50,000
Company Story:
I'm working with an established Edmonton commercial real estate group with a stable portfolio and a close-knit team. The organization takes a hands-on approach to its properties and places a strong focus on responsive tenant service, organized operations, and long-term relationships.
With a lean team structure, everyone plays an important role in keeping the business running smoothly. They are looking for someone who enjoys variety, takes ownership of their work, and wants exposure to several areas of commercial property management.
The Right Fit:
As the Property & Operations Coordinator, you'll provide day-to-day support to the General Manager and broader property team while helping keep the office and portfolio organized.
This is a varied role where one day might involve coordinating a maintenance request or communicating with a tenant, while another involves preparing documents, updating property records, organizing an inspection, or supporting an internal project.
You'll suit this team if you're organized, approachable, comfortable working independently, and enjoy being the person others rely on to keep details moving.
What You'll Be Doing:
  • Act as a key point of contact for tenant questions, requests, and general communication
  • Coordinate maintenance requests, service appointments, and property inspections
  • Assist with tenant move-ins, move-outs, and related documentation

  • Support the General Manager and property team with scheduling and administrative coordination
  • Prepare correspondence, reports, notices, and meeting materials
  • Coordinate with contractors and service providers regarding property work
  • Maintain office supplies, equipment, records, and general administrative systems
  • Assist with company website updates and social media activity
  • Track outstanding items and follow up with tenants, vendors, and internal stakeholders
  • Support special projects and changing operational priorities as required
What You Bring to the Table:
  • 3+ years of administrative, coordination, or office support experience
  • Previous exposure to property management, commercial real estate, construction, or a related industry is an asset
  • Strong organizational skills with excellent attention to detail
  • Professional written and verbal communication skills
  • Confidence communicating with tenants, vendors, contractors, and internal team members
  • Ability to manage competing priorities and follow through on outstanding items
  • Proficiency with Microsoft Office and comfort learning new systems
  • A proactive, resourceful approach and willingness to take ownership
  • Experience working within a smaller, collaborative team is an asset
What's in It for You:
  • Full-time, permanent opportunity
  • Salary range of $50,000 - $55,000
  • Comprehensive benefits package
  • Exposure to multiple areas of commercial property management
  • Direct access to experienced leadership
  • Opportunity to take ownership of a newly created position
  • Stable, collaborative team environment
  • Long-term opportunity to develop your skills as the organization grows
