Job description

Job Summary:

The Assistant Property Manager is primarily responsible for managing the rent collection process and ensuring the timely receipt of payments from tenants. They play a crucial role in maximizing revenue and minimizing delinquencies by implementing effective collection strategies and maintaining positive tenant relations.

Responsibilities:

Rent Collection:

  • Implement and enforce rent collection policies and procedures in accordance with lease agreements and company policies.
  • Monitor rent payments and follow up with tenants on overdue accounts through phone calls, emails, and written notices.
  • Negotiate payment arrangements with delinquent tenants and track payment commitments.

Tenant Communication:

  • Serve as the primary point of contact for tenants regarding rent payments and account inquiries.
  • Respond promptly to tenant inquiries and concerns related to rent payments, payment options, and account balances.
  • Maintain open lines of communication with tenants to address issues and resolve disputes amicably.
  • Assist onsite teams in garnering favorable online reviews.
  • Assist management in responding to all online reviews.  

Delinquency Management:

  • Monitor and track delinquent accounts, identifying trends and implementing proactive strategies to reduce delinquency rates.
  • Initiate legal proceedings for eviction or other actions as necessary for persistent delinquencies, in accordance with local laws and regulations.
  • Coordinate with property management and legal teams to escalate delinquent accounts as needed.

Financial Reporting:

  • Maintain accurate records of rent payments, late fees, and outstanding balances using property management software or databases.
  • Prepare regular reports on rent collections, delinquency rates, and account aging for management review.
  • Provide insights and recommendations to improve collection processes and minimize delinquencies.

Tenant Relations:

  • Serve as a primary point of contact for tenants during the lease renewal process, addressing inquiries and concerns promptly and professionally.
  • Build and maintain positive relationships with tenants to enhance tenant satisfaction and retention.
  • Address any issues or concerns raised by tenants during the renewal process and work to resolve them effectively.
  • Depending on onsite staffing, you may be asked to perform leasing responsibilities.
  • Perform all other duties assigned by supervisor.

Qualifications:

  • High school diploma or equivalent required; bachelor's degree in business administration, finance, or related field preferred.
  • Previous 2 or more years’ experience in property management, collections, or related field preferred.
  • Strong understanding of financial principles and collection strategies.
  • Excellent communication and negotiation skills, with the ability to interact professionally with tenants and internal stakeholders.
  • Proficiency in Microsoft Office suite and Yardi software.
  • Knowledge of landlord-tenant law and fair debt collection practices preferred.
  • Ability to work independently and prioritize tasks effectively in a fast-paced environment.

Additional Requirements:

  • Willingness to work flexible hours, including evenings and weekends, as needed.
  • Strong attention to detail and accuracy in financial record-keeping.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Certification in property management or collections preferred (e.g., Certified Apartment Manager, Certified Credit & Collections Professional) a plus.

Working Conditions:

  • Office environment with regular on-site visits to apartments.
  • Some physical activity is involved, such as walking through properties.
