Job description

We are looking for an Assistant Property Manager to support day-to-day property operations and help deliver a high standard of service to residents, tenants, and ownership stakeholders in Springfield, Massachusetts. This Long-term Contract position is ideal for someone with hands-on experience in property administration who can balance tenant relations, compliance activities, and operational coordination. The role offers the opportunity to contribute across residential and commercial property functions while helping maintain organized records, efficient communication, and smooth property performance.
Responsibilities:
• Support daily management activities for residential and commercial properties, ensuring operations run efficiently and service issues are addressed promptly.
• Coordinate tenant and resident communication, including responding to questions, resolving concerns, and following up on outstanding requests.
• Assist with lease administration, renewals, occupancy tracking, rent-related documentation, and maintenance of accurate property records.
• Monitor compliance requirements connected to HUD and LIHTC programs, helping keep files complete, current, and audit-ready.
• Work with vendors, maintenance teams, and internal partners to schedule services, track completion, and uphold property standards.
• Help prepare reports on occupancy, expenses, tenant activity, and general property performance for management review.
• Conduct property inspections and document findings to support upkeep, safety, and corrective action planning.
• Provide administrative support for budgeting, invoicing, and other financial processes related to property operations.• Experience supporting property management operations in a residential, commercial, or mixed-use environment.
• Working knowledge of property administration practices, including leasing support, tenant communication, and recordkeeping.
• Familiarity with HUD and LIHTC compliance requirements and documentation standards.
• Ability to manage multiple priorities while maintaining accuracy and strong follow-through.
• Strong communication and customer service skills when working with residents, tenants, vendors, and internal teams.
• Proficiency with standard office systems and property management software used for tracking leases, work orders, and reports.
• Organized approach to handling confidential information, deadlines, and detailed documentation.
