We are seeking an experienced Assistant Community Manager to join our team who will be responsible for assisting with all community operations. The purpose of Assistant Community Managers is to support the Community Manager in all aspects of management pertaining to the assigned community. These objectives will include maximizing occupancy levels and property values. In addition, the Assistant Community Manager will be trained to assume all duties of the Community Manager in the event of the Community Manager’s absence. The Assistant Community Manager reports to the Community Manager.


Job Duties & Responsibilities


Financial

  • Assists in ensuring that all rents are collected when due and are posted in a timely manner.
  • Makes sure that all bank deposits are made daily, and deposits are keyed into Yardi daily.
  • Assists in performing evictions, utility cut-offs and “landlord” liens as required on delinquent rents.

Personnel

  • Assists in handling new employee orientation and instructing and advising on-site staff of employee procedures and guidelines.
  • Maintains confidentiality of all employee information (All personnel files are maintained by the HR department and all employment verifications ae handled by the HR department).

Administrative

  • Ensures that lease files are complete, and all leases are executed properly.
  • Assist in creating weekly staff schedule, opening schedule, and condition of office and model apartments.
  • Conduct all business in accordance with company policies and procedures.

Resident Relations

  • Maintains positive customer service attitude and communications with all residents, handles resident complaints or issues as they arise.
  • Greets prospective tenants when they arrive and introduce them to the types of units available as well as the property’s amenities.
  • Respond to tenant questions and complaints in a timely manner.

Maintenance

  • Physically walks and inspects the property on a regular basis; verifies condition of vacant apartments. Performs night audit on a quarterly basis.
  • Assistance in updating the board indicating vacancy status daily. Coordinates with service staff to ensure timely recondition of apartments after move-out.
  • Monitors and schedules all service activities.

Marketing/Leasing

  • Maintains awareness of market/industry/neighborhood conditions.
  • Welcomes and shows property to prospective new residents. Also, handles incoming phone calls from prospective new residents and completes appropriate paperwork.
  • Reviews all rental applications and signs approval or rejection of prospects.

Safety

  • Completes semi-annual property inspection and safety meetings and provides applicable reports to HR.
  • Ensures that all workers’ compensation claims are reported to the HR department immediately via completion of an incident report.

General

  • Performs any additional duties or tasks as assigned by the Community Manager.
Requirements:
  • Reliable transportation, this position requires travel to conduct site visits at assigned communities.
  • A basic knowledge of Multifamily Community Management and Fair Housing Regulations.
  • 2+ years of onsite community management experience.
  • Strong organizational skills.
  • Strong technical skills - MS Word and Excel, experience with Yardi is a bonus.
