Ce que ce poste implique :

Relevant du/de la gestionnaire de propriete, le/la Coordonnateur(trice), Gestion immobiliere agit comme point de contact principal pour les locataires, repond a leurs demandes et assure une prestation de services sans faille. Ce poste est essentiel au maintien de la satisfaction des locataires et a l'excellence operationnelle en supervisant le controle de la qualite, en gerant la reconciliation des comptes et en veillant a ce que toutes les demandes des locataires soient traitees rapidement. Vous jouerez un role cle dans le soutien des operations immobilieres tout en contribuant a l'engagement de JLL a offrir des experiences client exceptionnelles dans l'immobilier commercial.

A quoi ressemblera votre quotidien :

  • Interagir et communiquer efficacement avec les locataires, le personnel d'exploitation, les fournisseurs et les sous-traitants pour assurer le bon deroulement des operations immobilieres

  • Minimiser les creances en effectuant le suivi des recouvrements, en documentant les notes au dossier et en surveillant le processus de recouvrement complet; referer les cas difficiles au gestionnaire immobilier

  • Facturer les services aux locataires sur une base mensuelle et gerer la reconciliation des comptes

  • Preparer les communications bilingues (francais et anglais) pour les locataires, incluant les lettres et la traduction de documents

  • Creer les bons de commande pour les fournisseurs et preparer les dossiers d'appels d'offres pour les nouveaux contrats de service

  • Veiller a ce que l'entretien et l'exploitation des batiments se deroulent efficacement tout en assurant le respect des politiques en matiere de sante et de securite

  • Participer activement au processus de certification environnementale et produire les rapports sur le developpement durable pour les proprietes sous votre responsabilite

Qualifications requises :

  • Trois (3) a cinq (5) ans d'experience en administration ou en gestion, de preference dans le secteur immobilier

  • Diplome d'etudes collegiales (DEC) ou equivalent - minimalement requis

  • Bilingue francais et anglais* (a l'ecrit et a l'oral) avec une excellente maitrise de l'orthographe et de la grammaire francaises

  • Capacite demontree a evoluer dans un environnement informatise

  • Connaissance pratique de la suite Microsoft Office et des systemes immobiliers tels que Yardi, Procore et Building Engines

Qualifications preferees :

  • Solides competences analytiques avec capacite a identifier et a resoudre les problemes de maniere autonome

  • Excellente gestion du temps et capacite a repondre a des priorites changeantes dans des delais serres

  • Capacite averee a travailler de maniere autonome et en collaboration au sein d'une equipe

  • Experience dans la participation a l'elaboration des budgets annuels

  • Connaissance de systemes de gestion immobiliere additionnels au-dela de Yardi, Procore et Building Engines

What this job involves:

Reporting to the Property Manager, the Property Coordinator serves as the primary contact for tenants, responding to their requests and ensuring seamless service delivery. This role is essential to maintaining tenant satisfaction and operational excellence by overseeing quality control, managing account reconciliation, and ensuring all tenant inquiries are addressed promptly. You'll play a key role in supporting property operations while contributing to JLL's commitment to delivering exceptional client experiences in commercial real estate.

What your day-to-day will look like:

  • Interact and communicate effectively with tenants, operations staff, suppliers, and contractors to ensure smooth property operations

  • Minimize receivables by conducting collection follow-ups, documenting notes, and monitoring the complete collection process; escalate complex cases to the Property Manager

  • Invoice tenant services on a monthly basis and manage account reconciliation

  • Prepare bilingual communications (French and English) for tenants, including letters and translated documents

  • Create purchase orders for suppliers and prepare tender files for new service contracts

  • Ensure building maintenance and operations run efficiently while verifying compliance with health and safety policies

  • Actively participate in the environmental certification process and produce sustainability reports for assigned properties

Required Qualifications:

  • Three (3) to five (5) years of experience in administration or management, preferably in the real estate sector

  • CEGEP diploma (DEC) or equivalent - minimum requirement

  • Fully bilingual in French and English* (written and spoken) with strong French spelling and grammar skills

  • Demonstrated ability to work in a computerized environment

  • Working knowledge of Microsoft Office Suite and real estate systems such as Yardi, Procore, and Building Engines

Preferred Qualifications:

  • Strong analytical skills with the ability to identify and resolve problems independently

  • Excellent time management and ability to respond to changing priorities under tight deadlines

  • Proven ability to work both independently and collaboratively as part of a team

  • Experience participating in annual budgeting processes

  • Familiarity with additional property management systems beyond Yardi, Procore, and Building Engines

*Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)
