Job description

Position Summary:
The Accounting & Administrative Assistant provides support to the accounting and administrative functions of the company. This position is responsible for accurate entry and organization of accounts payable information, maintaining financial and job-related documentation, answering incoming telephone calls, and providing general office support. The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced environment.


Key Responsibilities:

  • Answer and professionally route incoming telephone calls.
  • Enter vendor invoices and accounts payable information accurately and timely.
  • Verify invoices contain required supporting documentation, such as purchase orders and job information.
  • Match invoices to the appropriate vendor, job, department, or expense category.
  • Maintain electronic and/or paper accounting records.
  • Scan, upload, organize, and file invoices, receipts, purchase orders, and other documents.
  • Assist with vendor statement reconciliation and identify missing invoices or discrepancies.
  • Maintain vendor records and assist with obtaining W-9s and other required documentation.
  • Create and maintain customer files.
  • Assist the accounting department with accounts receivable, payment records, and other data-entry tasks as assigned.
  • Assist with preparation and organization of documentation needed for month-end accounting.
  • Maintain confidentiality of company, employee, customer, and financial information.
  • Provide general administrative and office support as needed.


Qualifications: High school diploma or equivalent required; must have great customer service and experience answering a busy multi-line office phone. Prior office, bookkeeping, or accounts payable experience preferred. The person should have strong attention to detail, good organizational and communication skills, basic knowledge of accounting terminology, and proficiency with telephone, computers, email, document management, and Microsoft Office. QuickBooks Online experience would be preferred but could be trained.
