Job description

Job Title: Project Coordinator
Location: Salisbury, MD
Type: Contract (possible hire)
Compensation: $40-50/hr
Work Model: Onsite
Summary
System One is seeking a highly organized and detail-oriented Project Coordinator to assist in the planning, execution, and completion of projects within our clients organization. The ideal candidate will work closely with project managers, team members, and stakeholders to ensure that projects are delivered on time, within scope, and within budget, as well as maintain the Transformation Office’s central project and portfolio management system, PPM360.
Principal and Essential Duties and Responsibilities
  • Work with Project Managers and the Director, PMO to maintain the Project Portfolio Management system (PPM360) with accurate data for status reporting, resource management, and portfolio management. Duties will include reviewing data for accuracy, following up with Project Managers and Business Owners to ensure data is up to date and accurate, and data entry.
  • Serve as Functional Administrator and main point of contact for the PPM360 system. Duties include: creating and maintaining training guides, providing user training and support, maintaining the SharePoint site with system guides and resources, and other related duties as assigned.
  • Support PPM360-related projects and releases by monitoring the project plan, providing input to requirements and design, and leading user acceptance testing.
  • Assist in the development and maintenance of project plans, project status reports, schedules, and budgets.
  • Coordinate project activities, resources, and information to ensure smooth execution.
  • Track project progress and report updates to stakeholders and management.
  • Facilitate communication among team members, ensuring alignment with project objectives.
  • Prepare and maintain project documentation, including meeting minutes, reports, and presentations.
  • Work with project managers to collect and maintain project resource plans and status updates and ensure this information is kept up to date in the Portfolio Management System.
  • Identify and mitigate potential project risks and issues.
  • Organize and schedule project-related meetings, workshops, and training sessions.
  • Ensure compliance with company policies, procedures, and project management best practices.
  • Support project managers in administrative tasks and other duties as needed.

Minimum Education and Experience Requirements
  • Bachelor’s degree in business administration, project management, or a related field.
  • Proven experience as a Project Coordinator or in a similar role.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management software (e.g., PPM360, Microsoft Project, Asana, Trello, or similar tools).
  • Ability to work under pressure and meet tight deadlines.
  • Strong problem-solving skills and attention to detail.
  • Process-oriented: Experience with creating process maps, standard operating procedures (SOPs), and similar documents.
  • Requires potential on-call, off-hours, or weekend work as project schedules may require.

Preferred:
 
  • Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus.
  • Knowledge of Power Apps and Power BI is a plus.
  • Strong customer service experience supporting business users, stakeholders, and cross-functional teams.
  • Experience developing, maintaining, and troubleshooting Power BI dashboards and reports.
  • Experience using AI-enabled productivity tools such as Microsoft Copilot, ChatGPT, or similar technologies to improve efficiency and project delivery.
  • Familiarity with Microsoft Copilot Studio, Power Automate, and other AI-enabled Microsoft technologies.
