Job description

Open position in all True Media office locations, including Kansas City, MO, Columbia, MO, St. Louis, MO, Portsmouth, NH, Dallas, TX and Minneapolis, MN; Hybrid work schedule: 3 days in the office, 2 days working from home

Essential Duties and Responsibilities (Other duties may be assigned)

Statements of Work

  • Develop and manage statements of work that meet client needs, outlines the agency's services and compensation, and minimizes the agency's risk.
  • Monitor account activity against the statement of work and alerts the internal team about out of scope activity, and then manage scope changes or additional needed changes.

Hours Estimates & Management

  • Develop hours estimates and then manage those estimates through a collaborative process with the account team. Pull hours reports and update tracking sheets on a routine basis.
  • Facilitate discussions and adjustments concerning time allocations with team members as needed. Manage application and billing status of the account time.

Client Setup

  • Understand client organizational needs in order to facilitate client setup in Advantage.
  • In Advantage, responsible for the setup and closing of job numbers, campaign codes, and media plans.

File Management

  • Manage the organization and consistent naming of files on the server, Google drive, and any other location where files need to be stored. Focus on key documents such as creative files from the client, contracts, statements of work, media briefs, channel strategies, measurement strategies, tactical plans, creative specifications, client invoices, and campaign performance reports/decks.

Timeliness and Task Management

  • Develop and document campaign timelines collaboratively with account teams. Provide communication to team members and clients as needed about timelines and tasks. Ensure deadlines are met and client deliverables are completed.
  • Track timelines and tasks in project management software.

Budget Management

  • Develop media authorizations.
  • Ensure campaign spends are in alignment with media authorizations through regular report checks from Advantage.
  • Build fee sheets for billing.
  • Ensure accurate and timely client invoicing.
  • Facilitate reconciliation completion within a 60-day window of campaign completion.

Client & Internal Meetings

  • Schedule client and internal team meetings.
  • Manage agendas for internal team meetings and assists the client strategist with client meeting agendas by collecting internal input on the agenda.
  • Record meeting notes and action items. Share note recaps and action items with the internal team, client, and agency partners.
  • Lead internal status meetings, and participate in client status meetings as needed.

Steward Agency Process and Roles

  • Facilitate adherence of the account team to agency roles and processes.

Account Communication

  • Proactively facilitate internal account communication, including resolution of issues. Assist the client strategist in ensuring client requests are acknowledged within 24 hours.

  • Minimum of 1 year equivalent experience in marketing or advertising positions including internship experience.

Education

  • Bachelor's degree from four-year college or university, degree or concentration in advertising, marketing or communications preferred; or one to two years related experience and/or training; or equivalent combination of education and experience.
