Job description

Responsibilities

  • Assign new job numbers for awarded projects.
  • Enter new projects into the company’s fleet/dispatching system for future scheduling.
  • Set up new projects in Autodesk Construction Cloud.
  • Coordinate with clients to obtain required documents, including additional insured certificates and other insurance-related items.
  • Connect the client’s project management team with the company’s scheduling department.
  • Review contracts, purchase orders, scopes of work, exhibits, insurance requirements, and related project documents.
  • Provide comments on contracts or project documents when revisions or clarifications are needed.
  • Coordinate execution of contracts once reviewed and approved.
  • Confirm that all required onboarding information is complete before the project is released to scheduling/operations.
  • Communicate with internal estimators, project managers, scheduling staff, field crews, and clients to keep the onboarding process moving.
  • Maintain organized records for each project and ensure all project setup information is accurate.

Qualifications

  • Strong organizational and communication skills.
  • Ability to manage multiple projects and deadlines at once.
  • Comfortable reviewing contracts, purchase orders, scopes of work, and project requirements.
  • Prior experience in construction, surveying, engineering, project coordination, or administrative project setup preferred.
  • Experience with Autodesk Construction Cloud is a plus.
  • Experience with insurance certificates, additional insured requirements, or contract administration is a plus.
  • Strong attention to detail and ability to follow procedures.
  • Proficient with email, PDFs, spreadsheets, and general office/project management software.
  • Ability to work independently and coordinate with multiple departments.

The right person for this role will be proactive, detail-driven, organized, a multi-tasker, and comfortable taking ownership of the project onboarding process from the moment a job is awarded until it is fully set up and ready for scheduling.
