The Role

We are hiring a Senior Project Manager / Chief of Staff to be the operational glue of the company. You will start by implementing project management discipline across every department, then grow into a true right hand to the founders, helping launch and run new 0-to-1 initiatives as we scale.

This is a high-trust, high-ownership role. You will work directly with the founders and department heads. In the early months you are the builder and the enforcer who gets everyone operating inside one system. Over time you become the person who can take a brand-new initiative from idea to running machine, and eventually build and oversee a small operations and project management team beneath you.

Phase 1 (Months 1-3): Build the Operating System

  • Audit how work flows through the company today by interviewing department heads and team members to map roles, responsibilities, and recurring tasks.

  • Make our project management platform (Asana) the central source of truth. Architect the workspace end to end: folders, lists, statuses, dashboards, templates, and automations.

  • Build automations for client onboarding and offboarding, employee onboarding and offboarding, weekly client tasks, and retainer and content workflows, so the right tasks auto-route to the right people.

  • Partner with our Senior Account Managers to organize their pods, structure their teams, and get every account project tracked and visible.

  • Establish the cadence: standardized status updates, clear task ownership, and a system that makes it obvious when something is slipping.

  • Manage end-to-end execution of projects across partners and teams.

  • Build and maintain detailed project timelines, workflows, dependencies, and launch plans

Phase 2 (Months 3+): Run the Machine & Scale

  • Be the accountability layer across account management, the creator retainer division, and in-house content. You are the glue that ties disparate projects together and keeps everything on track.

  • Chase aging tasks and hold owners accountable. You are comfortable being the respectful but firm 'stickler' who makes sure things get done on time, so the founders don't have to be.

  • Help the founders take new initiatives from 0 to 1. When we launch something new (for example, a new content offering), you stand it up using our internal people and resources and make sure execution happens.

  • As the company grows, build and lead the project management / operations team, owning the function as it scales.

  • Run leadership and portfolio cadences: prep agendas, track KPIs and follow-ups, and make sure decisions turn into assigned, completed work.

Who You Are

You are an operator at heart. You love turning chaos into clean, repeatable systems, and you get genuine satisfaction from watching a well-run process eliminate dropped balls. You are organized to a fault, direct in your communication, and unafraid to hold smart, busy people accountable.

Must-haves

  • Experience with Claude Code and process automation

  • 5+ years in project management, operations, or chief-of-staff-style roles, ideally at a marketing, creative, or digital agency.

  • Deep, hands-on expertise with a project management platform (Asana strongly preferred; ClickUp, Monday, or Wrike experience is welcome). You have personally built workspaces, automations, and dashboards from scratch, not just used them. You are comfortable building/using AI functionality available both within and outside of the platforms.

  • A track record of managing complex, multi-stakeholder projects and being the person who makes sure things actually get done.

  • Excellent written and verbal English. You can run meetings across teams and seniority levels and communicate clearly with internal teams and, when needed, clients.

  • U.S.-based, comfortable working fully remote, and self-directed.

  • Comfortable being firm. You can push people to deliver and enforce processes without being a pushover, while staying respectful and well-liked.

Nice-to-haves

  • Experience scaling an ops or PM function and building a small team.

  • Exposure to influencer marketing, creator programs, e-commerce, or TikTok Shop.

  • Six Sigma, PMP, or similar process or quality background.
