Position Summary

The Project & Schedule Manager is responsible for overseeing assigned installed product categories throughout the project lifecycle, from quote development through project completion and closeout. This role serves as the primary point of contact for assigned builders and customers while coordinating project scheduling, resource planning, installation readiness, and operational execution.

The Project & Schedule Manager works cross-functionally with Sales, Operations, Warehouse, Installation, and Customer teams to ensure projects are delivered on time, within scope, and consistent with company quality standards. This position is expected to proactively identify risks, improve operational processes, and support continuous improvement initiatives that enhance efficiency, customer satisfaction, and profitability.

Essential Duties and Responsibilities Pre-Sale & Estimating Support
  • Ensure timely and accurate preparation of estimates and quotes for assigned product categories.
  • Establish and improve service-level expectations related to quote quality and turnaround time.
  • Partner with Sales and Operations leadership to support pricing governance, margin objectives, and approval requirements.
  • Identify opportunities to improve quoting processes through automation, technology, and workflow enhancements.
  • Maintain current knowledge of product offerings, pricing structures, installation requirements, and operational updates.
Project Management
  • Serve as the primary project manager and operational contact for assigned builders and customers.
  • Manage projects through all phases, including planning, scheduling, execution, installation, and closeout.
  • Monitor project timelines and proactively address schedule impacts, resource constraints, and potential risks.
  • Coordinate with internal departments and external stakeholders to maintain project momentum and customer satisfaction.
  • Manage change orders, scope modifications, and project adjustments while ensuring appropriate documentation and accountability.
  • Ensure all assigned projects are completed in accordance with company quality and service standards.
  • Verify completion of final quality control inspections and closeout documentation.
Job Site Coordination
  • Conduct routine job site visits to assess project progress and installation readiness.
  • Perform pre-installation inspections to verify measurements, framing dimensions, utility locations, and site conditions.
  • Collaborate with Sales and Operations teams to confirm job readiness before scheduling deliveries or installations.
  • Identify and resolve site-related issues that could impact project timelines, quality, or customer satisfaction.
Scheduling & Resource Coordination
  • Collaborate with Operations leadership to forecast workload, support capacity planning, and balance available resources.
  • Schedule deliveries and installations according to project requirements and customer expectations.
  • Communicate directly with builders and customers regarding project schedules and readiness requirements.
  • Maintain and manage project schedules utilizing Microsoft Outlook and company scheduling systems.
  • Ensure work orders and sales orders are properly assigned and dispatched through DispatchTrack or other approved systems.
  • Coordinate delivery documentation, picking schedules, and staging requirements with Warehouse and Operations teams.
  • Facilitate communication between departments to support efficient project execution.
Process Improvement & Operational Excellence
  • Identify opportunities to improve workflow efficiency, scheduling effectiveness, and project execution processes.
  • Support implementation of operational best practices and continuous improvement initiatives.
  • Assist leadership in developing processes and procedures that improve productivity, service levels, and project outcomes.
  • Promote accountability, collaboration, and effective communication across departments.
Qualifications Education and Experience
  • Associate degree, bachelor's degree, or equivalent combination of education and relevant work experience preferred.
  • Minimum 3-5 years of experience in project management, construction coordination, scheduling, operations management, or a related field.
  • Experience working in residential construction, building products, installation services, or similar industries preferred.
  • Experience managing multiple projects simultaneously in a fast-paced environment.
Knowledge, Skills, and Abilities
  • Strong knowledge of installed product categories, particularly garage doors and fireplaces (gas and wood-burning).
  • General understanding of related product categories including cabinetry, appliances, surfaces, glass, and mirror products.
  • Advanced project management, scheduling, and organizational skills.
  • Ability to read and interpret architectural plans, construction drawings, engineering documents, and specifications.
  • Strong analytical, problem-solving, and decision-making capabilities.
  • Excellent verbal and written communication skills.
  • Ability to effectively manage customer expectations and maintain professional relationships.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Teams.
  • Experience with DispatchTrack and project management or scheduling software preferred.
