Project Manager Fit Out information

What does a project manager fit out do?

A Project Manager Fit Out oversees and coordinates the interior finishing and renovation of commercial or residential spaces, ensuring that projects are completed on time, within budget, and to the required quality standards. They manage schedules, resources, subcontractors, and client communications throughout the fit-out process. Their responsibilities also include handling procurement, health and safety compliance, and problem-solving on site.

What is the difference between Project Manager Fit Out vs Project Coordinator Fit Out?

The Project Manager Fit Out oversees the entire fit-out project, including planning, execution, and delivery, while the Project Coordinator Fit Out supports the project manager by coordinating schedules, resources, and communication. Both roles are essential but differ in scope and responsibility.

What are the key skills and qualifications needed to thrive as a project manager fit out, and why are they important?

To thrive as a Project Manager Fit Out, you need a solid background in construction management, commercial interiors, and project planning, usually supported by a relevant degree and industry experience. Familiarity with project management software (like MS Project or Primavera), budgeting tools, and health and safety regulations is essential. Strong leadership, negotiation, and communication skills help you coordinate teams, manage clients, and solve on-site challenges. These capabilities ensure projects are delivered on time, within budget, and to the required quality and safety standards.

What are the main challenges a project manager fit out faces when coordinating multiple contractors on a project?

A Project Manager Fit Out often manages several contractors and suppliers working simultaneously, which can lead to challenges in scheduling, communication, and quality control. Aligning the timelines of different trades, ensuring everyone adheres to project specifications, and resolving on-site issues quickly are critical responsibilities. Building strong relationships and maintaining open lines of communication with all parties helps prevent delays and ensures a smooth fit out process. Proactively managing risks and adapting to unforeseen changes are also key to delivering the project on time and within budget.

Job description

About the Company

At Flow, we're reimagining what it means to live, work, and connect. More than just a real estate company, Flow is a brand, a technology platform, and an operations ecosystem spanning condominiums, hotels, multifamily residences, and office spaces. We're building a new kind of living experience: one that's flexible, connected, and designed to create genuine community and real value for the people who call Flow home.

Our mission is oneness:  prioritizing our residents and their experiences, and fostering connection with ourselves, their neighbors, and the natural world. By putting people at the center of everything we do, we're creating vibrant, human-centered communities where life, work, creativity, and play all come together in one place.

About the Role

The Project Manager delivers assigned Flow projects and workstreams across the full project lifecycle (Concept Design Development GFC Documentation FF&E Selection Site Execution Handover), managing day-to-day scope, schedule, coordination, and documentation under the direction of the Senior Project Manager and Head of Design Management. The role covers Flow's full project taxonomy--ground-up developments, conversion projects, third-party standard conversions, and tenant improvements/fit-out. The Project Manager is the operational engine of delivery--running programs, tracking actions, driving the RFI/submittal cycle, and keeping cross-discipline coordination moving across architecture, interior design, structural, MEP, and landscape teams, while maintaining rigorous documentation discipline and escalating risk and change early.
Responsibilities
  • Deliver assigned projects and workstreams across the lifecycle under the direction of the Senior Project Manager
  • Maintain project programs, milestones, and action logs; track progress against baseline and flag slippage early

  • Coordinate day-to-day across architecture, interior design, structural, MEP, and landscape teams, chasing deliverables and closing open items

  • Manage the RFI, submittal, and approval cycle, enforcing agreed turnaround times

  • Maintain project documentation under version control in the CDE; keep registers current and accurate

  • Prepare and issue meeting minutes, progress reports, and trackers to the Senior Project Manager on a defined cadence

  • Review consultant and contractor deliverables for completeness against scope and brand standards

  • Log changes and variations into the register; support cost-alignment and formal approval routing

  • Support risk identification and maintain the risk register with documented mitigation actions

  • Coordinate site queries and support execution, escalating technical issues to the relevant discipline lead

  • Support handover-compile as-built and FM documentation and drive close-out checklists to completion

Ideal Background
  • Bachelor's in Architecture, Engineering, Construction Management, or a related built-environment discipline; PMP or CAPM certification preferred
  • 6-10 years of experience in project management on mid- to large-scale real estate development projects

  • Background at a real estate developer, project management consultancy, or tier-one contracting or consulting firm, with direct exposure to design-through-delivery project management

  • Delivery support experience on at least 2-3 mid-to-large real estate projects across ground-up, conversion, and/or fit-out types

  • Working coordination experience across architecture, interior design, structural, MEP, and landscape disciplines

  • Strong documentation, tracking, and reporting discipline

  • Familiarity with FIDIC/AIA contract principles

  • Proficiency in Primavera P6 or MS Project, Procore or equivalent CDE platform, Bluebeam Revu, AutoCAD, and Revit (review level)

  • Comfortable with AI-assisted PM and productivity tools (Monday, Airtable, Notion)
