Job description

Our client, Hawthorne House, is seeking a highly organized, proactive, and professional Executive Assistant to provide direct support to the CEO. This is a dynamic, high-impact role that requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.

The Executive Assistant will serve as a trusted partner to the CEO, managing business and personal priorities and overseeing administrative responsibilities for the CEO's Airbnb properties. The ideal candidate is resourceful, adaptable, customer service-oriented, and thrives in a role where no two days are the same.

Responsibilities
  • Provide comprehensive administrative support to the CEO.
  • Manage calendars, appointments, meetings, and travel arrangements.
  • Screen and manage incoming phone calls, emails, and correspondence.
  • Coordinate meetings, prepare agendas, and take meeting notes as needed.
  • Handle confidential information with the highest level of professionalism and discretion.
  • Assist with personal assistant responsibilities, including scheduling personal appointments, coordinating errands, and managing personal projects.
  • Oversee day-to-day administrative tasks related to Airbnb properties, including guest communications, reservations, vendor coordination, maintenance scheduling, and ensuring properties are guest-ready.
  • Coordinate with vendors, contractors, and service providers to ensure timely completion of projects and maintenance.
  • Assist with special projects and operational initiatives as assigned.
  • Maintain organized electronic and physical filing systems.
  • Anticipate the needs of the CEO and proactively resolve issues before they arise.

Physical Requirements

  • Ability to sit, stand, bend, and occasionally lift or move office supplies and packages.
  • Ability to work on a computer for extended periods.
  • Ability to travel locally as needed to assist with errands or property-related responsibilities.
