Shames Construction has been building commercial projects since 1987, and as a 100% woman-owned general contractor, we specialize in retail, grocery, industrial, restaurant, and entertainment construction across the Western United States.

We are seeking a highly organized, detail-oriented Project Assistant to join our team in our Lone Tree, Colorado office. This position will provide day-to-day administrative and coordination support to our Project Management team and play an important role in keeping projects organized and moving forward from startup through closeout.


The ideal candidate is proactive, dependable, comfortable managing multiple priorities, and understands the importance of accuracy, communication, and follow-through in a fast-paced commercial construction environment.


WHAT YOU’LL DO

As a Project Assistant, you will support our Project Managers and project teams with the administrative and coordination responsibilities necessary to keep projects running efficiently.


Your responsibilities will include:

  • Provide administrative and coordination support to Project Managers and project teams.
  • Process subcontract documents, including purchase orders, subcontract agreements, and related contract documentation.
  • Collect, review, track, and maintain subcontractor documentation, including insurance certificates, W-9s, licenses, and project contact information.
  • Prepare and track Field Work Directives (FWDs), subcontractor change orders, and related project documentation.
  • Assist with owner pay applications, reimbursable invoices, and related project reporting.
  • Coordinate submittals and assist the project team with maintaining accurate submittal records and documentation.
  • Assist with project startup and closeout documentation, including warranties, manuals, and other required turnover documents.
  • Maintain organized and accurate electronic project files and ensure documentation is properly filed and readily accessible.
  • Track project documentation and follow up with subcontractors, vendors, and internal team members on outstanding items.
  • Attend project meetings as needed, assist with meeting documentation, and help track follow-up items.
  • Communicate professionally with subcontractors, vendors, Project Managers, Superintendents, and other project stakeholders.
  • Assist with maintaining accurate project status reports and administrative tracking logs.
  • Help identify missing or incomplete documentation and proactively follow up to keep project requirements on schedule.
  • Support multiple projects and Project Managers while effectively prioritizing competing deadlines.
  • Provide additional administrative and project support as needed.
  • Contribute to a positive experience for our clients, subcontractors, vendors, and internal project teams.


WHAT YOU BRING

We are looking for someone who is organized, dependable, detail-oriented, and comfortable taking ownership of their responsibilities.


REQUIRED QUALIFICATIONS

  • 3–5+ years of administrative or project coordination experience, preferably within commercial construction or a related industry.
  • Strong organizational and time-management skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
  • High level of attention to detail and accuracy when preparing, reviewing, and maintaining project documentation.
  • Excellent written and verbal communication skills.
  • Professional and confident communication when working with subcontractors, vendors, clients, and internal team members.
  • Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Ability to learn and effectively use construction management and document-management software.
  • Ability to work independently, take initiative, and follow through on assignments while supporting a collaborative project team.
  • Ability to identify missing information, follow up proactively, and keep assigned tasks moving toward completion.
  • High School Diploma or equivalent required.


PREFERRED QUALIFICATIONS


  • Previous administrative or Project Assistant experience with a commercial General Contractor.
  • Experience with Procore or similar construction management software.
  • Familiarity with DocuSign and electronic contract/document workflows.
  • Familiarity with AIA contract documents.
  • Experience processing subcontract agreements, purchase orders, change orders, and other construction documentation.
  • Experience collecting and tracking subcontractor insurance, W-9s, licenses, and compliance documentation.
  • Familiarity with owner pay applications, reimbursable invoices, and basic construction cost processes.
  • Experience supporting projects from startup through closeout.
  • Additional education or training in construction, business administration, project management, or a related field.

COMPENSATION & BENEFITS

Salary: $60,000 – $75,000 per year DOE

Benefits: Medical, dental, vision, life insurance, FSA, 401(k), Paid Time Off (PTO), and 7 paid holidays.


This is a full-time, on-site position based in our Lone Tree, Colorado office.
