Associate Development Assistant (Business-West Coast)

Cooley is seeking an Associate Development Assistant to join the Professional Development Team.


Position summary: The Associate Development Assistant is responsible for handling administrative duties for Associate Development Managers ("ADMs"). Specific duties and responsibilities include, but are not limited to, the following:


Position responsibilities:

  • Assist ADMs in the planning and coordination of department team meetings and events:
    • Coordinate events and meeting logistics across offices, including reserving meeting rooms, coordinating meeting room set-up, arranging food and beverage service, and ensuring Technology/AV requirements are met
    • Create program communications, including invitations, reminders, program materials, agendas
  • Provide ADMs with reporting assistance, which may involve:
    • Attorney utilization, hours, attendance, and time entry compliance
    • Attorney vacations, leaves of absence, and other transitions
    • Attorney utilization on major case teams
    • Pro bono hours/case deadlines, to help ADMs forecast when capacity will open up
    • High-low hours to help ADMs load balance across the practice groups
  • Support ADMs in managing attorney departures and related restaffing needs:
    • Track attorney departure dates
    • Ensure each departing attorney prepares their client matter transition checklist
    • Distributes final version of the client matter transition checklist to relevant teams
  • Provide ADMs with logistical support for mentoring and other talent programs (e.g., track participation, feedback, reimbursements)
  • Provide ADMs with general administrative support:
    • Submit electronic expense reports and track reimbursements for the ADMs
    • Proofread own and other's work with attention to detail and accuracy consistently following standardized rules of language regarding spelling, punctuation, grammar, word usage and sentence structure
    • Assist other functions of the Associate Development team, as needed
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required

Preferred:

  • Bachelor's degree
  • Intermediate Excel skills or willingness to learn (independently) and utilizing internal training resources to master the application
  • Previous general office and computer experience
  • Prior law firm experience

The expected hourly pay range for this position with a work schedule of 40 hours per week is $25.50 - $33.50 ($52,000.00 - $69,680.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
