POSITION SUMMARY
The Marketing & Business Development Assistant provides day-to-day support to the firm's Marketing & Business Development Department, assisting with a wide variety of marketing and business development initiatives that help promote the firm's attorneys, practices, and client service efforts. This role supports the execution of marketing projects, maintains marketing materials and databases, assists with events and business development activities, and helps ensure requests are completed accurately, efficiently, and on schedule.

They enjoy working behind the scenes to keep projects moving, are comfortable balancing multiple priorities, and approach every task, large or small, with professionalism, resourcefulness, and a positive attitude. RESPONSIBILITIES
Marketing & Communications
  • Assist with updating and maintaining the firm's website, including attorney biographies, practice pages, news, event listings, and other content.
  • Update and maintain marketing collateral, brochures, practice descriptions, templates, and other firm materials.
  • Assist with developing and formatting attorney PowerPoint presentations for seminars, conferences, client presentations, and pitches.
  • Coordinate legal directory submissions, award nominations, and attorney recognition opportunities.
  • Help maintain the firm's library of marketing assets, templates, and branded materials.

CRM & Database Support
  • Maintain the accuracy and integrity of the firm's CRM database through ongoing data entry, quality control, record updates, and data cleanup.
  • Create, update, and maintain mailing lists to support client communications, events, newsletters, and other firm marketing initiatives.
  • Assist with importing, exporting, and organizing contact data while ensuring records remain current and accurate.
  • Perform routine database maintenance, including duplicate record management, contact verification, and data organization.
  • Assist with maintaining contact preferences and ensuring information is entered consistently across the database.
  • Respond to basic CRM-related requests from attorneys and staff, escalating more complex issues as appropriate.
  • Support the Marketing & Business Development team by helping ensure contact data is accurate, organized, and readily available to support firm initiatives.

Business Development Support
  • Assist with the marketing and business development onboarding of new attorneys, including coordinating attorney biographies, headshots, announcement materials, directory profiles, and other marketing assets to help ensure a successful transition into the firm.
  • Coordinate the firm's participation in the Meritas referral network by tracking inbound and outbound referrals, maintaining referral records, assisting with reporting requirements, and supporting attorneys with referral-related communications and opportunities.
  • Assist with the preparation of pitch materials, client presentations, proposals, and other business development resources.
  • Support attorneys and practice groups with a variety of business development initiatives and special projects.
  • Assist with research, preparation, and coordination of materials used to support client development efforts.

Events & Client Engagement
  • Assist with the planning and execution of client events, seminars, webinars, sponsorships, conferences, networking programs, and other firm events.
  • Prepare name badges, signage, presentation materials, giveaways, and other event collateral.
  • Provide onsite event support as needed to help ensure successful execution of firm events.
  • Assist with sponsorship deliverables, promotional materials, and event logistics.
  • Support post-event follow-up efforts, including maintaining attendance records and updating contact information as needed.

Department Operations & Administrative Support
  • Monitor the Marketing & Business Development Department inbox and coordinate incoming marketing requests from attorneys and practice groups.
  • Track projects, deadlines, and deliverables to help ensure timely completion of marketing initiatives.
  • Process marketing invoices, maintain expense records, and assist with vendor coordination.
  • Maintain departmental files, calendars, templates, procedures, and internal resources.
  • Assist with organizing marketing materials, reports, and department resources.
  • Provide administrative and project support to the Marketing & Business Development team while assisting with special projects and team initiatives as needed.
  • Contribute to a collaborative, team-oriented culture by identifying opportunities to improve processes and supporting colleagues whenever needed.

Requirements
QUALIFICATIONS
  • Bachelor's degree in Marketing, Communications, English, Business, or a related field.
  • One to three years of marketing, communications, administrative, or related experience preferred. Relevant internships and comparable experience will also be considered.
  • Strong written communication, proofreading, and editing skills.
  • Excellent attention to detail and commitment to producing accurate, polished work.
  • Strong organizational and time management skills with the ability to manage multiple projects and deadlines in a fast-paced environment.
  • Excellent interpersonal and customer service skills with the ability to work effectively with attorneys, staff, vendors, and clients.
  • Experience with CRM systems is preferred.
  • Proficiency with Microsoft Office; experience with WordPress and Canva a plus.
  • A proactive, adaptable, and resourceful approach with a willingness to learn new skills and take on a variety of projects.
  • Demonstrated willingness to learn, take initiative, and support team members across a variety of projects and responsibilities.
  • Positive attitude, strong work ethic, and the belief that no task is too small when contributing to the success of the team and the firm.
