THE ROLE


The Project Coordinator is the operational anchor for the project team. You will track jobs from setup through closeout, make sure nothing falls through the cracks, and keep the team's projects moving. This role primarily supports projects under $5,000, but you will touch every phase of the project lifecycle and interface directly with Project Managers, service providers, and customers.   


The PC role is the starting point of our project management career path. You will learn how projects are built and run at every level. High performers move into Senior Project Coordinator, where they carry independent project ownership and larger budgets, and then into Project Manager. We promote from within because we build the people who earn it. If you are someone who likes a fast paced environment, is detailed oriented, and growth minded, this is the role for you.


WHAT YOU WILL DO


Project Coordination

  • Set up new quote requests enter project details, upload attachments, and ensure all information is accurate and complete before a job moves forward
  • Generate storage quotes and keep recurring storage quotes current
  • Process purchase orders for projects primarily under $5,000, verify that all information matches, and flag the Project Manager if a customer has exceeded credit terms
  • Check receivers and bills of materials (BOMs) proactively to confirm product is arriving on schedule for team projects
  • Coordinate scheduling for projects under $5,000 and provide support on larger projects as needed
  • Request Certificates of Insurance (COIs), update relevant information and dates, and follow up until received
  • Maintain the team's call date report and follow up with team members to keep it current and accurate
  • Run and interpret website reports including Need to Invoice, Call Date, Firm Schedule, and Estimated Start Date
  • Support PPM and Punch compliance tracking for the team and follow up on outstanding items

Project Administration and Closeout

  • Generate quotes for the team and follow up on any outstanding quotes
  • Request and attach required project documents including BOMs, floor plans, and blueprints
  • Close out completed jobs: confirm all signatures and documentation are received, follow up on missing items, and prepare projects for invoicing
  • Monitor ship dates and product arrival; flag discrepancies before they affect the schedule
  • Complete Service Provider Evaluations and coordinate with the Project Manager to ensure accuracy
  • Provide follow-up support on punch items and open project issues until resolved

WHAT WE ARE LOOKING FOR


  • High school diploma or GED required; bachelor's degree preferred
  • At least 2 years of office or administrative support experience; experience supporting a project management team is a strong plus
  • Comfort working inside a project management or operations platform daily
  • Strong Microsoft Office skills, particularly Excel and Outlook
  • You catch errors before someone else does and follow up on open items without waiting to be asked
  • Clear written and verbal communication; you know how to escalate the right things at the right time
  • A team-first mindset and genuine interest in learning how projects work from the ground up
