Job description

FOR USE BY IT AND HSIS ONLY: To draft reports for program/project managers that includes area's schedule, tasks, deliverables, and budget. To provide assistance to program/project managers to ensure projects are carried out according to plan. To resolve project issues with appropriate personnel. This position will commit to fostering an environment of heightened security following Information Technology Security Policies and participating in security training, such as Health Insurance Portability & Accountability Act (HIPAA) and Family Education Rights and Privacy Act (FERPA), on an annual basis. 
RESPONSIBILITIES:
1. Completes administrative tasks for executive leaders and their units including, but not limited to, managing calendars, scheduling meetings, managing meeting agendas and taking meeting minutes, arranging travel accommodations and reimbursements, interfacing with internal and external constituencies, confidential office and administrative support functions, processing of orders and payments, and assisting customers with executive leadership needs. 
2. Coordinates facilities and space management activities for assigned locations. 
3. Conducts and coordinates special projects for executive leadership. May include event planning and coordination. 
4. Coordinates preparation and dissemination of planning documents, marketing materials, status reports, and other relevant communications for the organization and its working groups. 
5. Processes IT service billing transactions including the creation revenue financial reports and analyses leveraging department protocols and procedures. 
6. Assists with contract administration in partnership with appropriate UAB IT departments. 
7. Performs additional duties as assigned for the success of the department. 
(Hourly Rate:  $21.80  -  $35.45)
 
* The role has the potential to be hybrid, subject to completion of onboarding and department need.
 
Associate's degree in Information Systems or a related field and three (3) years of related experience required. Work experience may substitute for education requirement.
The successful candidate will have the ability to prioritize and manage multiple activities at a time and manage task time efficiently, take initiative to follow-up with other areas to complete assigned activities, demonstrate superior organizational practices, and establishing a network of connections across UAB to effectively complete assignments. In addition, the following knowledge, skills and abilities are strongly preferred:

  • Exceptional organizational skills that include the ability to manage time effectively and exhibit a strong attention to detail.
  • Intermediate/advance level Microsoft Outlook experience (calendar management of an executive and scheduling large meetings and events) Intermediate level Microsoft Word, Excel and PowerPoint experience (creating documents, using formulas, creating charts/graphs, pivot tables, creating slides and presentations).
  • UAB Oracle Finance experience or other financial management system experience is desired but not required (purchase orders, payment requisitions, travel reimbursements, account reconciliation, transaction research).
