Job description

Senior Project Coordinators manage the execution of assigned projects through vendor coordination, documentation control, and system management, operating at a level approaching Project Manager execution while delegating all field responsibilities to installation vendors and service providers. They possess strong knowledge of equipment specifications, project sequencing, and Avanti operational systems, allowing them to maintain tight control of project scope, procurement timing, and documentation while coordinating installation activities remotely.Senior Project Coordinators are responsible for full project ownership from the office, ensuring projects remain organized, technically accurate, and aligned with contract requirements and schedule.


Duties/Responsibilities:


  • Lead project execution from the office by coordinating vendors, documentation, and internal teams to ensure projects remain organized and aligned with contract requirements.
  • Develop project execution plans based on equipment sequencing and construction schedules. Coordinate those requirements with field teams / installers.
  • Maintain strong understanding of project drawings, specifications, and equipment scope to ensure equipment selections align with contract documents.
  • Perform detailed AutoQuotes (AQ) review and cleanup to ensure accuracy before procurement / submittal
  • Manage submittals, RFIs, and change order documentation while ensuring project information is properly tracked and maintained in Airtable.
  • Coordinate procurement sequencing with Supply Chain and review purchase orders to ensure equipment aligns with approved submittals, scope, and schedule
  • Coordinate installation vendors and service agents by communicating delivery schedules, installation sequencing, and startup requirements.
  • Support billing coordination with Project Administration by ensuring change orders, deliveries, and project milestones align with billing requirements.
  • Manage project closeout coordination including startup scheduling, punch list tracking, warranty documentation, and final turnover to the client.
  • All other duties as assigned.
Required Qualifications
  • Strong understanding of commercial kitchen equipment specifications and sequencing.
  • Ability to interpret construction drawings and project specifications.
  • Strong organizational and documentation management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with project management and operational systems including Bluebeam, AutoQuotes.
  • Ability to manage multiple projects simultaneously while maintaining attention to detail.
  • Ability to coordinate vendors and project stakeholders effectively.

Preferred Qualifications

  • Prior experience in commercial kitchen construction, foodservice equipment distribution, or construction project coordination.
  • Advanced experience with AutoQuotes and equipment specification management.
  • Familiarity with construction documentation including submittals, RFIs, and change orders.
  • Experience coordinating installation vendors and service agents.
  • Demonstrated ability to manage projects independently with minimal oversight.


Education/Experience:

  • 5 years of experience in either KEC Project Management / Kitchen Equipment Sales.
  • High school diploma required, but prefer undergraduate degree.
