Position Summary

The Construction Landscape Project and Sales Coordinator plays a critical role in guiding landscape construction projects from initial client contact through proposal, sale, and successful handoff to production. This position serves as the central point of communication between clients, sales, project management, and field crews.

The Coordinator supports sales efforts, assists with estimating and proposals, manages project documentation and scheduling, and ensures projects are organized, profitable, and executed efficiently. This role is ideal for a detail-oriented professional who enjoys client interaction, organization, and seeing projects move from concept to completion.

Key Responsibilities

Estimating & Proposal Coordination

  • Coordinate site measurements, takeoffs, photos, and field notes
  • Assist with estimating and designing landscape construction projects, including:
    • Patios, walkways, retaining walls, grading, and drainage
    • Planting, mulch/stone beds, sod and seed
    • Irrigation, lighting, and outdoor living features (as applicable)
  • Prepare professional proposals including scope of work, exclusions, and terms
  • Track proposal status through approval and signature

Project Coordination & Handoff

  • Coordinate project start dates, schedules, and timelines
  • Prepare and distribute complete job handoff packages, including:
    • Signed contracts and proposals
    • Site notes, measurements, and photos
    • Material selections and quantities
    • Special instructions and client expectations
  • Communicate project details to Project Managers and On-Site Superintendent
  • Assist with production scheduling and coordination with operations
  • Monitor project progress and flag potential delays or issues

Client Communication

  • Serve as a point of contact for clients regarding scheduling and general project updates
  • Communicate pre-construction details and readiness information
  • Assist in resolving client questions or concerns by coordinating internally
  • Ensure expectations and changes are clearly communicated and documented

Administrative, Job Costing & Reporting

  • Maintain accurate project files (digital and/or physical)
  • Track change orders, approvals, and updates
  • Assist with material ordering and delivery coordination
  • Request permits and utility locates where applicable
  • Support job costing accuracy (materials, labor assumptions, subcontractors)
  • Assist with billing readiness, including deposits, progress billing, and project close-out
  • Generate reports related to sales, production, and project performance

Qualifications

Required

  • Strong organizational and multitasking skills
  • Ability to manage multiple projects simultaneously
  • High attention to detail and strong follow-through

Preferred

  • Experience in landscape construction or related trades
  • Basic understanding of landscape plans and construction drawings
  • Customer service or sales support experience
