Job description

Job Description:
Elevator Services Group is seeking a proactive and detail-oriented Project Coordinator to support our Project Managers and Sales Departments in ensuring that projects are completed on schedule. The ideal candidate will assist in a variety of administrative and operational tasks to facilitate seamless project execution, from issuing purchase orders to coordinating with contractors and vendors. This role requires excellent organizational skills, effective communication, and a strong ability to multitask in a fast-paced environment.

Key Responsibilities:
  • Project Scheduling and Coordination:

    • Assist Project Managers and Sales Departments in maintaining project schedules and meeting deadlines.
    • Coordinate with job supervisors, mechanics, contractors, and vendors to ensure timely ordering, receipt, and delivery of equipment, drawings, samples, and other necessary items.
    • Monitor project tasks to ensure adherence to timelines, providing reminders and follow-ups as needed.
  • Purchase Orders and Documentation:

    • Issue Purchase Orders under the guidance of Project Managers and Supervisors.
    • Submit samples, drawings, and cut-sheets to clients and contractors; follow up to obtain timely approvals and address requests for additional information.
    • Review, create, and submit required Department of Building documents, including permits and other compliance-related paperwork.
    • Ensure that all necessary documents are properly filed in project folders.
  • Data and Cost Management:

    • Assist Project Managers in reviewing weekly time entries for accuracy on active jobs.
    • Review and enter accurate costing data on projects to help maintain financial tracking and budgeting.
  • Communication and Coordination:

    • Facilitate communication between internal teams and external stakeholders, including clients, contractors, and vendors.
    • Follow up with clients, general contractors, and consultants for necessary approvals and information.
    • Coordinate with supervisors to manage deliveries and other operational needs.
  • Calendar and System Management:

    • Maintain and update project calendars to track schedules, meetings, and deadlines.
    • Enter and manage project information in systems like Fieldboss, ensuring data accuracy and accessibility.
Qualifications:
  • Proven experience in project coordination or administrative roles, preferably in construction or elevator services.
  • Strong knowledge of project management software (e.g., Fieldboss, GoCo) and proficiency with Microsoft Office Suite.
  • Excellent organizational skills with attention to detail and the ability to handle multiple priorities.
  • Effective communication and follow-up skills to collaborate with internal and external stakeholders.
  • Familiarity with issuing purchase orders and managing project-related documentation.
  • Ability to work independently and collaboratively in a dynamic environment.
Physical Requirements:
  • Ability to lift and carry materials weighing up to 25 lbs occasionally.
  • Comfortable working in an office environment with occasional visits to job sites.
