Job description

STV is seeking a detail-oriented and proactive Project Controls Specialist with a strong background in administrative support to join our team in Austin, TX. The ideal candidate will be responsible for coordinating and supporting various project control activities, ensuring projects are executed efficiently and effectively. This role requires a combination of project management knowledge and administrative expertise to facilitate smooth project operations.

Key Responsibilities:

Project Planning and Scheduling:

  • Assist in the development, maintenance, and/or review of project schedules, ensuring accurate timelines and resource allocation.
  • Support project managers in updating schedules to reflect actual progress and changes.

Cost Management:

  • Track and monitor project budgets, expenses, and financial forecasts.
  • Assist in the preparation of cost reports and financial analyses.

Document Control:

  • Manage and organize project documentation, including contracts, subconsultant agreements, change orders, and correspondence.
  • Ensure all project documents are accurate, up-to-date, and properly filed.

Administrative Support:

  • Provide comprehensive administrative support to the project management team during design and construction of projects, including scheduling meetings, preparing agendas, and taking minutes.
  • Maintain and update project management tools and databases.
  • Assist in the preparation of presentations, reports, and other project-related documents.
  • Manage submittals, RFIs, and change proposal logs as well as construction administration activities with the design team, contractor and owner.
  • Assist in the onboarding of new staff including welcome letter and week one schedules, coordinate with team to establish individual training sessions and facilitate office tour.

Funding Support:

  • Manage and perform quarterly Davis-Bacon wage rate interviews for several federally funded projects and use template provided to develop corresponding quarterly reports.
  • Using the template provided, coordinate with design engineers, client and construction management staff to procure scope, schedule and budget updates on several federally funded projects and consolidate data into a quarterly report.

Performance Reporting:

  • Assist in the generation and distribution of project status reports and performance dashboards.
  • Support the development of project metrics and KPIs to track progress and performance.

Risk Management:

  • Help identify project risks and support the development of mitigation strategies.
  • Maintain risk registers and ensure timely updates.

Qualifications:

  • Bachelor's degree in business administration, Project Management, or a related field.
  • At least 5 years of experience in project controls, administrative support, or a related role.
  • Proficiency in project management software (e.g., MS Project, Primavera) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams/SharePoint).
  • Strong organizational and multitasking skills with a high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively in a team environment and independently when required.
  • PMP, CAPM, or similar project management certification is a plus.
  • Fluency in Spanish language is a plus.

Compensation Range:

$75,656.68 - $86,464.77
