Under the supervision of the Director of Project Planning and Services, the<\/span><\/span> Document Control Coordinator <\/span><\/span><\/b>performs various works to ensure integrated document management (IDM), preservation, protection, dissemination and research of information in accordance with policies, procedures, laws and standards governing document management, mainly for engineering documentation. The Document Control Coordinator may also be called upon to carry out similar tasks within the framework of other major projects of the company.<\/span><\/span><\/span>

The responsibilities of the Document Control Coordinator include:<\/span><\/span><\/span>

  • Monitoring the Engineering Contractor's document control activities and progress;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Understanding project contractual requirements and align document control processes and procedures for the team;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Receive, interpret, and process documents from the client, engineering firms, subcontractors, and team members;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Performance of various activities necessary for integrated document management (classification, filing, indexing, assembly, entry, traceability, registration, digitization, quality control, transfer, archiving, destruction, etc.) mainly for documentation (digital and paper) of the project;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Ensuring documentation deliverables are tracked and correctly reported in the contractors' and client's document management systems;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Analyzing, in collaboration with the document management and access to information advisor, documents containing complex and unusual problems and participate in the development of solution elements;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Identification and correction of any discrepancies in the documentation;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Ensuring the maintenance and application of the system of classification, inventory, indexing and conservation of data according to the procedures, policies and laws in force, and participates in its improvement;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Assisting employees in using the document management tools made available to them and in applying pre\-established standards and procedures;<\/span><\/span><\/span>

  • Preparing, assembling, and scanning documents as needed;<\/span><\/span><\/span>
    <\/span><\/span><\/span><\/li>\n
  • Generating transmissions and reception of documentation to internal and external parties;<\/span><\/span><\/span>

  • <\/span><\/span><\/span><\/span><\/span>Entering documents and managing documentation, submittals, etc. into Unifier, respecting project deadlines and client requirements.<\/span><\/span><\/span><\/span>

    • <\/span><\/span><\/span>Post Secondary education in Document Management, Digital Information Management, or Engineering is required;<\/span><\/span><\/span><\/span>
      <\/span><\/span><\/span><\/li>\n
    • 3\-5 years of experience in document management in the construction industry is required;<\/span><\/span><\/span><\/span>
      <\/span><\/span><\/span><\/li>\n
    • Relevant experience in managing engineering and project management documentation is required;<\/span><\/span><\/span><\/span>
      <\/span><\/span><\/span><\/li>\n
    • E<\/span><\/span><\/span><\/font>xperience with Unifier is required;<\/span><\/span><\/span><\/span><\/span>
      <\/span><\/span><\/li>\n
    • <\/span><\/span><\/span><\/span><\/span>Excellent command of Microsoft Office Suite, and applicable software;<\/span><\/span><\/span>

    • Knowledge of BIM 360 software is an asset;<\/span><\/span><\/span>

    • Bilingualism (an asset), but proficiency in English language with excellent communication skills (written and verbal) is required.<\/span><\/span><\/span>
