Position Overview:

SGL is seeking a dynamic and results-driven Project Cargo Coordinator to join our team. The successful candidate will support end-to-end project logistics activities, working closely with the sales, operations, and customer service teams to ensure the successful execution of complex cargo movements.

Responsibilities:
  • Coordinate and execute domestic and international ocean import, export, and project cargo shipments from booking through final delivery.
  • Manage the end-to-end ocean shipment process, including booking, documentation, carrier coordination, customs requirements, cargo tracking, and delivery arrangements.
  • Manage and coordinate import/export compliance filings and shipping documentation, including ISF, AES/EEI, ICSS2 filings, commercial invoices, packing lists, bills of lading, arrival notices, and other applicable regulatory requirements, ensuring accuracy and timely submission.
  • Communicate effectively with clients, vendors, carriers, and internal teams to coordinate timelines, shipping documentation, cargo requirements, and delivery arrangements.
  • Monitor shipment and project milestones and proactively communicate delays, exceptions, or potential service issues to internal and external stakeholders.
  • Support Sales and Operations by preparing rate requests, customer quotations, and RFQs, including smaller or routine RFQs.
  • Generate, issue, and follow up on quotations for existing and prospective clients, partners, and SGL offices.
  • Ensure accuracy of pricing, shipment details, documentation, and customer information within internal systems.
  • Serve as a primary point of contact for assigned clients, providing shipment updates, responding to inquiries, and addressing service issues throughout the project lifecycle.
  • Collaborate with internal teams, including warehouse, transportation, customer service, and operations, to resolve service issues efficiently and maintain customer satisfaction.
  • Act as a liaison between Sales and Operations to ensure alignment on customer requirements, pricing, timelines, and project execution plans.
  • Monitor shipment activity and customer trends, including no-ship reports, and follow up with key accounts to maintain shipment volume, service levels, and customer relationships.
  • Support department managers with operational reporting, document preparation, shipment analysis, and client communication as needed.
  • Review carrier and vendor invoices against quoted rates and shipment details and assist with resolving billing discrepancies when necessary.
  • Maintain organized and accurate shipment files, quotations, rate information, documentation, and correspondence.
  • Stay current with ocean freight industry trends, import/export regulations, carrier requirements, and customer needs to support operational excellence and continuous improvement.
  • Identify opportunities and provide feedback to improve internal processes, workflows, service quality, and the overall customer experience.
  • Assist with project cargo operations, including OOG, heavy-lift, breakbulk, oversized, and other specialized cargo, as required.
  • Travel within the assigned territory as needed to meet with customers, vendors, carriers, or other business partners and support operational requirements.
Required Skills/Abilities:
  • Minimum 3 years’ experience in Project Logistics
  • Minimum 3 years’ experience Inside sales, pricing, logistics, or freight forwarding operations or sales.
  • Strong analytical and problem-solving skills.
  • Entrepreneurial mindset and willingness to learn
  • Ability to work in a fast-paced and dynamic environment.
  • High attention to detail.
  • Strong sense of urgency and aptitude to work under pressure.
  • Excellent communication and negotiation abilities.
  • Ability to work independently or as a flexible team player.
  • Proficiency Microsoft Office Suite – focus on MS Excel
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
Work authorization/security clearance requirements:
  • Must be eligible to work in the United States
  • Must pass TSA eligibility screening
