Position Overview
The Project Coordinator is responsible for providing administrative and operational support to project teams to ensure timely, organized, and efficient execution of project tasks. This role works closely with project managers, technical staff, and internal departments to assist with scheduling, documentation, communication, and resource coordination. The Project Coordinator plays a key role in maintaining project tracking systems, supporting client deliverables, and helping ensure projects stay on schedule and within scope. #LI-KD1 #LI-Onsite
Responsibilities
  • Lead the end-to-end planning and execution of business integration projects, including mergers, acquisitions, system transitions, and process realignments.
  • Coordinate with internal departments (e.g., HR, Finance, IT, Operations) to align integration goals with functional requirements and timelines.
  • Develop and manage detailed project plans, ensuring clear scope definition, task assignments, and milestone tracking.
  • Identify potential risks and dependencies, propose mitigation strategies, and ensure issue resolution throughout the project lifecycle.
  • Monitor project performance using appropriate tools and KPIs to ensure timely delivery and budget adherence.
  • Facilitate regular project meetings, document progress, and ensure consistent stakeholder communication and alignment.
  • Collaborate with change management and training teams to support adoption and continuity across affected business units.
  • Ensure documentation, reporting, and handoff of integrated processes and tools are completed accurately and on schedule.
  • Contribute to post-project reviews to capture lessons learned and support continuous improvement for future integrations.
  • The position involves performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
  • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.

Qualifications
  • Associate's or Bachelor's degree in Business, Project Management, or a related field preferred.
  • 2+ years of experience in project coordination, administrative support, or operations within a technical or service-based industry.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., MS Project, Smartsheet, Monday.com) is a plus.
  • Excellent verbal and written communication skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Familiarity with engineering, construction, or environmental services terminology and workflows is preferred.
    Travel Requirements
    • This position does not require regular travel as part of its primary responsibilities. However, occasional
    travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or
    company events. Travel, when necessary, will be communicated in advance and aligned with business
    needs.
    Physical Demands & Work Environment
    • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
    • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
