Role Summary

The Associate Project Manager plays an important role in helping events stay organized, on track, and moving forward. Reporting to the Director of Event Operations, this role supports the planning and execution of in-person, hybrid, and virtual events while collaborating closely with Project Managers, Technical Directors, Producers, vendors, and clients. As our Associate Project Manager, you will help coordinate timelines, track deliverables, maintain project documentation, and support event logistics from kickoff through show day. This role is ideal for a detail-oriented, solutions-minded professional who thrives in fast-paced environments and is eager to continue growing within the world of live event production.

Success in this role requires strong organizational and communication skills, adaptability, and the ability to manage multiple priorities with professionalism and flexibility. The ideal candidate is proactive, collaborative, calm under pressure, and excited to build their project management and technical production experience as part of a high-performing team. This is a remote position with required travel.

Key Responsibilities 

Project Coordination & Execution

  • Support the planning and execution of small-to-mid-size events, with guidance from senior team.
  • Partner with Project Managers and Producers on larger or more complex productions.
  • Build and maintain detailed timelines, and workback schedules.
  • Track deliverables, deadlines, and action items across internal teams, vendors, and clients.
  • Participate in internal and client meetings, helping ensure alignment, clear communication, and follow-up.
  • Contribute to pre- and post-event evaluations and process improvements.

Production Coordination

  • Collaborate with Technical Directors and production teams on AV needs, labor planning, and logistics.
  • Assist with coordinating production schedules, gear lists, labor orders, schedules, and onsite logistics.
  • Support the development and distribution of production schedules, and rehearsal plans.
  • Partner with Creative Services and other internal teams to help track scenic, video, graphics, and collateral deliverables. 

Client & Vendor Collaboration

  • Serve as a day-to-day contact for assigned clients, maintaining clear and proactive communication.
  • Coordinate with vendors on logistics, documentation (COIs, agreements, W9s), and timelines.
  • Help ensure client expectations are met while maintaining alignment with project scope and budget.

Operational & Administrative Management

  • Maintain project management systems, documentation, and shared files.
  • Support budget tracking, purchase orders, and invoice coordination. 
  • Identify risks or gaps early and escalate appropriately.

Onsite Event Support

  • Support on-site execution including load-in, rehearsals, show flow, and load-out.
  • Help coordinate crew logistics and schedules.
  • Act as a problem-solver on-site, assisting with real-time adjustments and communication.


What You Bring to the Table

  • 2–4 years of experience in event management, event production, hospitality, agency operations, or a related field.
  • Experience supporting live, hybrid, or virtual events.
  • Experience supporting timelines, deliverables, logistics, or coordination across multiple stakeholders.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
  • Clear communicator with strong interpersonal and relationship-building skills.
  • Professional, proactive, adaptable, and calm under pressure in dynamic environments.
  • A collaborative mindset with a willingness to learn, contribute, and support the broader team.
  • Eagerness to continue building project management and event production expertise.


Preferred Location & Travel Requirements

While this is a fully remote role, candidates based in the Washington, DC metro area are strongly preferred. We will also consider highly qualified candidates outside the area who can meet the travel requirements of the position. This role requires regular travel regionally, across the country and possibly internationally to support meetings, events, and on-site production needs. While most trips are planned, flexibility is key.

 

Salary Range

The salary range for this position is $60,000–$80,000 annually, commensurate with experience, qualifications, and geographic location.
