The Associate Project Manager supports the efforts of operations to successfully implement and monitor department projects. Working under the guidance of a Project Manager or Director, this role helps coordinate multiple initiatives that enhance organizational sustainability and performance. Responsibilities include assisting in the development of strategic plans, creating detailed program roadmaps, and tracking project progress. The Associate Project Manager plays a key role in advancing the organization's goals by improving service levels, patient and family experiences, quality and safety outcomes, and cost efficiency through data analysis and reporting.
MINIMUM QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:
1. Associate's degree in business administration, Communications, Education, Finance or related field required.
OR
2. High School Diploma AND 2 years of project management or related experience.
PREFERRED QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:
1. Bachelor's degree preferred.
2. PMP or related project management certification preferred.
EXPERIENCE:
1. Experience in a large organization.
2. Experience in a hospital environment.

1. Assist with or coordinate special projects, serving as a liaison among stakeholders including ambulatory operations, clinical department leadership, information technology, and other departments.
2. Support the management of project communications, deliverables, deadlines, and stakeholder engagement to ensure alignment with department initiatives.
3. Contribute to the development of revenue cycle reports, create presentations, and assist in communicating findings and progress to leadership.
4. Monitor project timelines, track key milestones, and escalate issues to ensure project objectives are being met. Assist in negotiating and documenting any changes to project scope.
5. Respond to stakeholder inquiries and assist in resolving operational and system-related issues in collaboration with Department Leadership, IT, clinical teams, and support staff.
6. Utilizes working knowledge of organization's versions of software to perform project planning and oversight, for example: Windows, MS Project, MS Office, MS SharePoint.
7. Support Project Managers and Directors in identifying process improvement opportunities, including workflow enhancements and EMR optimization strategies.
8. Participate in planning and implementing change and maintaining and improving productivity through attendance and participation in departmental functions and staff meetings.
9. Conduct routine project meetings to share organizational information and to provide guidance, direction, motivation, and to discuss overall performance of respective staff relative to work assignments.
10. Participates in pre-engagement preparation and implementation planning, and transition to support.
11. Coordinate with leadership to initiate and implement projects, ensuring collaboration and timely execution across relevant internal and external teams.
12. Assist in the development of project proposals, resource plans, and budgets under the guidance of senior project staff.
13. Participate in project review meetings to track progress, document outcomes, and identify risk mitigation strategies.
14. Support cross-functional teams by providing insight into workflows, system integration, and best practice alignment to ensure successful project implementation.
