Job description

The Carpentry Project Manager Assistant supports the Project Manager in coordinating and administering commercial, industrial, and government carpentry projects. This position assists with project documentation, procurement, scheduling, subcontractor coordination, budgeting, and field communication to ensure projects are completed safely, on schedule, within budget, and in accordance with contract requirements.

Essential Duties and Responsibilities

Project Coordination

  • Assist the Project Manager with planning, organizing, and managing carpentry projects from award through closeout.
  • Coordinate daily communications between field supervisors, foremen, subcontractors, suppliers, and clients.
  • Track project schedules and assist with milestone management.
  • Monitor project progress and report potential delays or issues.
  • Assist with project startup activities and mobilization requirements.

Procurement & Material Management

  • Solicit and obtain material quotations from vendors and suppliers.
  • Prepare purchase orders and track material deliveries.
  • Monitor lead times and ensure materials arrive according to project schedules.
  • Coordinate specialty carpentry material orders, including doors, frames, hardware, millwork, framing materials, insulation, drywall accessories, and finish products.
  • Maintain procurement logs and material tracking reports.

Contract Administration

  • Assist with contract review and project document management.
  • Prepare and track RFIs, submittals, transmittals, and change orders.
  • Maintain project correspondence and document control systems.
  • Assist with permit applications and regulatory compliance requirements.
  • Track subcontractor agreements and required documentation.

Financial & Cost Control

  • Assist with project budgeting and cost tracking.
  • Prepare quantity takeoffs and pricing support for change orders.
  • Monitor labor hours, production reports, and material costs.
  • Assist with monthly billing and pay application preparation.
  • Maintain project cost reports and commitment logs.

Field Support

  • Coordinate with field personnel to gather production data and project updates.
  • Assist with manpower planning and workforce scheduling.
  • Track equipment needs and rentals.
  • Help resolve field issues by coordinating information between the office and project site.
  • Participate in project meetings and maintain meeting minutes.

Project Closeout

  • Assemble closeout documentation including warranties, operation manuals, and as-built drawings.
  • Track punch list items and completion status.
  • Ensure all required documentation is submitted prior to final payment.

Qualifications

  • Associate degree or Bachelor's degree in Construction Management, Business Administration, or related field preferred.
  • Minimum 2 years of construction administration, project coordination, or carpentry industry experience preferred.
  • Understanding of commercial carpentry systems including framing, drywall, acoustical ceilings, doors/frames/hardware, millwork, and finish carpentry.
  • Ability to read and interpret construction drawings and specifications.
  • Strong organizational and communication skills.
  • Ability to manage multiple projects simultaneously.

Technical Skills

  • Microsoft Office Suite (Excel, Word, Outlook)
  • Construction management software such as Procore, Autodesk Construction Cloud, or similar
  • Adobe Acrobat
  • Basic blueprint reading and quantity takeoff skills
  • QuickBooks or construction accounting software experience preferred

Physical Requirements

  • Primarily office-based with periodic jobsite visits.
  • Ability to travel locally to project locations.
  • Ability to occasionally climb ladders, walk active construction sites, and lift up to 25 pounds.
